Executive Assistant - Building Safety
Permanent / Northwich
37.5 Hours per week
Initially, you'll be working from our Northwich Office 5 days a week; however, once confident/competent in role, hybrid working will be offered - working from our Northwich Office will then be a minimum of 2 days per week.
Salary up to £26,000
RMG has an exciting brand new opportunity for an Executive Assistant (Building Safety) to work closely with, and providing extensive support, to our small Health & Safety Team.
You will provide administration support to our Fire Safety Management team, aiding creation of the Building Safety Cases on high rise apartment blocks. In addition, you will provide progress reporting and utilise our clients' own systems to provide updates on their property portfolio. This is a truly varied role within a professional property management business, providing an opportunity for you to develop your knowledge and help our business grow.
Your role of Executive Assistant - Building Safety will include:
Working as part of a small team, with regular engagement with all departments across RMG.
Liaising with both external and internal stakeholders to ensure deadlines relating to the Building Safety Case are met.
Provide administrative support, including the collection and tracking of data and documentation relating to the portfolio of high-rise apartment blocks, to allow the Fire Safety Manager to create the Building Safety Case.
Monitor, track and report on the position of the Building Safety Case.
Collaborate with, and support, RMG's Fire Safety Management team to ensure all services provided to both the client are to the highest standard.
Undertaking meetings with key clients to provide a updates on the collation and completion of the Building Safety Case and support the Fire Safety Manager in completion of any subsequent actions from the meeting.
This role would suit someone who has previous Executive Assistant / Personal Assistant experience - someone who is used to organising themselves and others, to ensure key milestones/deadlines are always met.
Previous Health & Safety, Fire Safety and/or experience of working within a Compliance environment is highly desirable, as elements of this role require an understanding of risk management within residential buildings.
What are some of the tasks you will be doing?
Preparation of updates for, and attendance to, meetings to discuss the position of the Building Safety Case with clients.
Responding to emails using Outlook - communication will be with both external and internal contacts.
Use of various systems including, but not limited to, OnBase, Local Authority Planning portals, third party compliance tracking systems, Microsoft Office and Salesforce to gather information relating to the block for the purpose of collating the Building Safety Case.
Liaison with internal departments, property managers and external suppliers to gather information for the purpose of collating the Building Safety Case.
Uploading the above mentioned documentation to clients' respective systems and ensuring the client is kept up to date with progress.
Scheduling meetings with clients and ensuring that the information required to be presented to the client is submitted before any agreed deadlines.
What we are looking for?
A proven analytical and organisational ability.
Experience working an environment relating to Health and Safety, Compliance or Fire Safety is highly desirable.
Understanding of the Property Management business and Building Safety Act is desirable but not essential as fully training will be provided.
Moderate understanding and ability to use Microsoft Office & Excel; and ability to pick up on use of IT systems.
Experience of handling multiple tasks simultaneously whilst keeping to deadlines.
Confidence in dealing with clients, external and internal parties at all levels.
Educated to a minimum of Grade C at GCSE level (or equivalent).
