EA to Directors - Halesowen
A new opportunity for a Executive Assistant to Directors within an established Group of Companies based in the West Midlands.
With continuing growth within the business this is the perfect opening for a conscientious and experienced professional with a background in similar roles to come in and support with a number of different tasks and processes.
Our client is looking for a candidate experienced working for Directors with proficient skills within IT, as well as high organisational and communication skills.
The role will suit part-time hours, with mornings a requirement and 5-days per week preferred. The specific hours can be adaptable to suit the successful candidate and discussed at interview stage. (Salary would be adjusted to Pro-rata)
Duties and Responsibilities:
- Diary management/Booking meetings/appointments
- Directors’ Business travel - booking flights, hotels, car hire, valet parking etc
- Reconciling monthly expenses
- Basic HR-related tasks to support MD with absence monitoring, holidays, etc
- Fielding calls & taking messages
- HR Administration - contracts/offer letters, relevant paperwork, maintaining personnel files.
- Organising food/refreshments for business lunches
- Organise and distribute incoming/outgoing Director’s post
- Liaising with building management
- Carrying out research for particular projects as requested by MD
- Organising corporate & staff events
- Assisting with the organisation of exhibitions and possibly attending if required
- Taking minutes at required meetings & typing up minutes
- Organising Directors’ personal/company cars - insurance, MOT, servicing, repairs etc.
- Assisting Directors with personal holiday/events
- Support with company mobile phone contracts, vehicles, insurances
- Ad-hoc paperwork & duties on behalf of Directors
Candidate Specification:
- Experience of working for Directors
- Essential experience in Microsoft Office- Outlook/Word/Excel/PowerPoint
- Good IT skills
- Excellent organisational skills
- Excellent communication skills
- Ability to prioritise work and manage time effectively and be proactive
- Demonstrate a professional manner at all times and possess the ability to remain calm under pressure
- Ability to maintain a high level of discretion
