We are currently recruiting an Executive Assistant to provide support to three members of the Senior Management Team including the CEO.
This 1 year Fixed Term contract role will be office based (City) with one day working from home.
This is an ideal role for an individual who enjoys providing extensive and comprehensive support, in a fast paced and demanding role. In addition to your core Executive Assistant responsibilities, you will also have oversight and management of the wider team of PAs across the firm.
Responsibilities:
- Extensive diary management – managing changing schedules and last-minute requests
- Management of a team of four Personal Assistants based in London
- Acts as ‘gate keeper’ and first point of contact for CEO and two additional Executives
- Preparing daily meeting pack for CEO ensuring he has all appropriate documents for meetings
- Preparing Senior Management Team for meetings, including highlighting / scheduling action items and diarising follow up tasks
- Organising international travel, roadshows, flights, hotels and transfers
- Formatting Word documents and preparing PowerPoint presentations
- Processing expenses
- Arranging conference calls across multiple time-zones
- Support the SMT with any specific projects / tasks
- Responsible for organising specific events, such as SMT & Managing Partner off-sites
- Collaborate with others on key events / conferences, such as annual Investor Event
- Management of various administrative tasks
- Working closely with the Chief of Staff to organise SMT related meetings
Skills and Experience:
- Previous Management experience is desirable
- Proven experience of managing busy and changing diaries
- Experienced in organising international travel and visas
- Excellent organisational and time management skills
- Able to multi-task and prioritise effectively and quickly
- Strong interpersonal skills with the ability to interact effectively with a range of people
- Flexible ‘can do’ attitude
- Has a pro-active approach and uses initiative to anticipate requirements
- Comfortable with Outlook, Word, Excel and PowerPoint
- Use of Concur and travel booking systems would be helpful
- Experience of Asset Management, Private Equity or Investment Management desirable
This role will pay up to £60,000 pro rata (depending on experience)
