I am currently seeking an exceptionally organised Executive Secretary to provide high-level support to our Chief Executive on a temporary contract basis. This role is a temporary contract with immediate start and potential for ongoing employment.
Key Responsibilities of the Executive Secretary:
- Manage and maintain the Chief Executive's schedule, ensuring efficient time management and coordination of meetings and appointments.
- Handle correspondence, draft emails and documents, and prepare reports as required by the Chief Executive.
- Organise travel arrangements, including booking flights, accommodations, and creating detailed itineraries.
- Act as the first point of contact for the Chief Executive, screening calls and enquiries, and directing them appropriately.
- Prepare materials and documentation for board meetings and other executive sessions.
- Maintain confidentiality of all sensitive and proprietary information.
- Assist with various administrative tasks including filing, photocopying, and managing electronic records.
- Collaborate with other team members and departments to ensure seamless executive operations.
Required Skills & Qualifications of the Executive Secretary:
- Proven experience as an Executive Secretary or similar administrative role.
- Exceptional organisational skills and the ability to prioritise multiple tasks.
- Strong communication skills, both written and verbal.
- High proficiency in Microsoft Office Suite and familiarity with virtual meeting platforms.
- Ability to work independently with minimal supervision.
- A proactive approach to problem-solving with strong decision-making skills.
