Bede's Trust is looking for a hard-working Facilities Manager, to join our Estates Team, based in Upper Dicker, Hailsham.
Within this role, you will be ensuring exceptional service to the Trust, by managing and leading the Estates Maintenance Team and Contractors, to carry out all aspects of maintenance, refurbishments, and small project work, offering cost effective, efficient, and legally compliant services, that meet both the current and future needs of the Trust. You will work closely with the Estates Manager and Director of Projects to keep to the agreed 5-year maintenance schedule of works.
You will also be working closely with our Security Coordinator to ensure the Porter Team provides effective site security and support for functions, events etc.
The ideal candidate will be someone who has a flexible approach, is able to work well under pressure, and has excellent written and verbal communication skills. Organisational skills are also key, as you will be leading, developing, and helping to train the Facilities Team, ensuring the team are engaged, high performing and have the right set of skills, as well as a good understanding of compliance. You will also make sure a high level of Health and Safety is maintained, and ensure all work is being carried out in a safe and controlled environment.
Main Duties and Responsibilities
Planned Maintenance and small projects: Working with the Estates manager and Director of Projects to an agreed 5-year maintenance schedule of works, refurbishments and trust approved small projects works to all buildings and staff accommodation ensuring that all reactive and planned maintenance to its buildings and facilities are maintained, fully compliant and are in keeping with the trusts visions and values.
Planned Maintenance Service delivery: Manage the day-to day reactive and planned preventative maintenance (PPM) schedules so that all buildings, delivery standards and service level agreements (SLA's), are met and the facilities and equipment is appropriately serviced/maintained by the effective management of the Estates maintenance engineers and preferred contractors
Emergency Maintenance Delivery: To manage a 365 day a year emergency service, including an out-of-hours service for emergency repairs by allocating appropriate resources from an agreed on call rota.
Site security and Porterage: Working closely with the Security Coordinator, to ensure the Porter team provides effective site security and support to the maintenance engineers, school functions and events team.
Budget management: To help the Estates Manager budget and forecast for the planned maintenance, condition survey, and small project works and work closely with the Finance department ensuring all accounts/invoices are monitored, updated and correct whilst balancing costs with quality to ensure that services are delivered within budget and best value is always assured.
Staff Management and training: To lead, develop, performance manage and train all staff within areas responsibility, to ensure that we have an effective, engaged and high performing team of people with the right skills and levels of compliance and responsibility. Maintain a high level of Health and safety and access to the appropriate R/A to allow staff to carry out their work in a safe and controlled environment with a full understanding of safeguarding.
Systems and administrative records: To ensure that the Estate database is working correctly and efficiently so that the Estates team can work to SLA's and that there are clear logs of all required records and documentation of all the maintenance, compliance and porterage work undertaken and make available for appropriate inspections and Audits etc.
Requirements
- Minimum 3 years' experience as a facilities Manager or similar
- Knowledge and understanding of Compliance, Health and Safety, Environmental Health and Fire Safety regulations.
- Building management systems
- People and leadership management and development.
- Ability to scheduled maintenance, service level agreements budgeting.
- Ability to communicate effectively with key interfaces, in a team environment and on their own.
- Excellent communication skills
- People and leadership management and development.
- Record keeping and good IT skills in Word, Excel and Google chrome. E AI
