Contract: Full-time, permanent role (Applicants interested in working part-time, minimum 2.5 days per week, will also be considered)
Hours/Days: The majority of the post-holder’s hours are expected to be worked between 9am and 7pm Monday to Friday. Due to the nature of the Lyric’s work the post-holder may be required to do some early morning, evening and weekend work to fulfil the requirements of the role.
The Lyric has a House Agreement that details our approach to working hours for all staff.
House Agreement Type: Operations Agreement
Holiday: 30 days per annum including Bank Holidays with an additional day added for each year of service up to a maximum of 35 days
Notice period: Three months
Probationary period: Six months
Pension: 3% pension contribution after qualifying period

MAIN PURPOSE OF POSITION
The Facilities Manager role is integral to the day-to-day upkeep of the Lyric building and facilities, overseeing the work of the Maintenance Assistant, cleaning contractors, Security Supervisor and Duty Security.
The Facilities Manager has responsibility for maintaining a safe and well-kept building, achieving the highest standards and presentation for all of our staff, partners and visitors, planning regular maintenance and overseeing planned preventative maintenance including arranging and overseeing contractors.
FACILITIES MANAGEMENT
· To carry out regular building walks with the Head of Building and Facilities to identify areas of repair, maintenance and improvement
· To be responsible for carrying out regular compliance checks and record keeping, raising any concerns to the Head of Building and Facilities
· To maintain a system of logging maintenance and repair requests from all departments and partner organisations across the Lyric
· To prioritise and coordinate all work/repair requests in a timely manor
· To act as main contact for First Line Helpdesk requests to London Borough of Hammersmith and Fulham ensuring timely response to non-delegated repairs, maintenance and PPM. Ensuring appropriate priority and timescales are met
· To manage services such as waste disposal, pest control and cleaning contractors
· To manage appropriate budgets providing performance and financial reporting to ensure cost-effectiveness
· To support with business continuity situations as required such as internet outage, plant failure and access issues
· To support the Head of Building and Facilities on IT infrastructure
· To arrange for and manage contractors working on site
· To liaise with Livat Security and other Shopping Centre Tenants as required
· To work with the Head of Building and Facilities and other departments to ensure the Lyric is welcoming, clean and safe
Facilities Manager - LINE MANAGEMENT
· To line manage the Maintenance Assistant including the allocation of work to ensure timely repairs and completion of PPM
· To line manage the security team including allocating shifts
· To liaise with the cleaning supervisor to ensure high standards of hygiene and cleanliness are maintained throughout the Lyric. Liaising on cleaning schedules and working with the visitor services manager on day-today requirements.
· Ensure staff receive regular feedback and positive encouragement so that they perform their role to high standards
· To be responsible for team member one-to-ones and performance reviews
Facilities Manager - HEALTH AND SAFETY
· To attend Health and Safety meetings
· To complete risk assessments and COSHH
· To produce and update policies and procedures under the guidance of the Head of Building and Facilities
· To undertake and act as a Fire Warden
· To undertake and act as a First Aider
· To take an active role in all fire and security procedures
· Complete statutory monitoring and reporting in a timely manner
· Report and appropriately escalate any Health and Safety risks
Facilities Manager - ENVIRONMENT SUSTAINABILITY
· To collect and record energy data
· To program the BEMs and other systems according to the weekly building operating schedules
· To work with other departments on reaching the Lyric’s commitment to reach net zero carbon emissions by 2030
SECURITY AND EMERGENCY PROCEDURES
· To be responsible for the engagement and management of the security team
· To cover for sickness and leave of security staff as required.
· To take an active role in any building evacuation
· To act as a keyholder and responding out of hours when required

Facilities Manager - Essential Criteria
• Good knowledge and experience of dealing with building maintenance issues
• Experience of working in a large and/or multi-purpose building
• Experience of managing a small team
• Sound knowledge of current Health and Safety and Licensing legislation and practice
• Knowledge/experience of building management systems
• Experience of managing budgets
• Ability to remain calm under pressure and prioritise effectively
• Good communication skills, oral and written, and the ability to communicate and interpret technical information for non-specialists
• Ability to contribute to an open, supportive and creative working environment
• Proven ability to prioritise effectively and balance long-term and immediate objectives
• Competency in Microsoft Office packages
• Can-do attitude and willingness to take a hands-on approach to problem-solving
• SIA License (training can be provided)
• Ability to work independently and use own initiative but also work collaboratively within a team
• Positive and flexible approach to work
Desirable Criteria
• Trained in First Aid
• Experience of working with local authorities
• Membership of the IWFM and/or IOSH
• Commitment to continuing professional and personal development and to developing best practice
• Keen and active interest in the arts in general, and in the work of the Lyric in particular
