​Salary: £23,700 with progression to £25,138 per annum, pro rata

The Role

 

To provide comprehensive administrative support for the Faculty’s Research Student Development Programme and the Graduate School to ensure that the Faculty and University policies, deadlines and standards are met.

 

This will include the support of in-person and online events across the faculty to ensure the smooth running of training events administered through the workshop booking system.

 

This is a part time secondment 22.2 hours per week from 1st May to 1 August 2024

 

Key Accountabilities

  • To support the Graduate School’s Research Student Development Programme, including the organising of workshops, timetabling of sessions, booking of rooms, the sourcing of the facilitators for each session, and the organising of catering
  • To support PGR related events and activities, this will include support for internal and external speakers and arrangements for event operations including basic audio-visual support
  • To manage the workshop booking system, including writing session overviews, adding the new academic programme to the system, and recording cancellations and attendance
  • To facilitate and administer the session evaluation process, including the collation of the data
  • To provide reports on workshop attendance, overall programme engagement and the session evaluations for the bi-annual reviews and when requested on an ad hoc basis
  • To update relevant electronic resources and maintain a pro-active presence for the programme and its related activities (i.e. newsletter, online resources, and social media sites) ensuring there is up-to-date information, including the latest development opportunities
  • To maintain the relevant distribution lists for the Research Student Development Programme and the Graduate School
  • To assist in the production of programme and publicity material, ensuring they are prepared, collated, and submitted in keeping with the University guidelines
  • To act as secretary to the Postgraduate Research Development Programme Committee, including agenda and document preparation, circulation, minute taking and monitoring the progress of any actions
  • To act as the main point of contact for postgraduate research development enquiries: dealing with queries in an efficient and timely manner, and referring onwards where appropriate, in order to maintain good support mechanisms within the faculty and ensure that processes and University regulations are adhered to
  • To be responsible for the communication of information on the Supervisor training required by the faculty and delivered by the Central Team, and to monitor that the criteria is adhered to for additions to the Academic Supervisors List (also know as the Fellows List) by all Supervisors in the Faculty
  • To maintain the Faculty Academic Supervisor/Fellow's List in order to provide the Graduate School with an accurate list of Supervisors, Panel Members, Internal Examiners, and Independent Chairs
  • To prioritise your own work and help other team members to ensure that all Graduate School targets and deadlines are achieved
  • Any other duties within the scope and general nature of the grade which may be required.  This may include some flexibility in working hours

  • Strong IT skills, including experience of working with databases and spreadsheets
  • Experience of support work within a busy and varied customer focused service
  • Ability to work accurately with attention to detail
  • Ability to work alone using initiative whilst following line management guidance
  • Good communication skills, written, oral and interpersonal
  • Ability to work in a confidential and discreet manner
  • Ability to work under pressure, manage diverse priorities and meet deadlines
  • Events management experience

Qualifications

  • Grades A-C in English Language and Mathematics GCSE (or equivalent) or vocational qualifications, plus work experience in a relevant role; or substantial relevant work experience in the unit or a comparable setting
