Team Overview
We’re a trusted team of 16 people, including 3 partners, who work closely with private clients and organisations. Each of our clients’ goals are different, but overall, they’re seeking solutions for either wealth accumulation or preservation. They rely on us to provide ongoing independent Financial Planning advice at various key stages of their lives.
Role Overview
We are looking for a Financial Planning Assistant to provide quality and efficient administrative support, in order to assist with the smooth running of the private client side of the team, thereby allowing the advisers to concentrate on client work.
Key aspects of the role include:
- Provide support to advisers on client related queries.
- Take an interest in the affairs of, and get to know the clients, so that you are aware of what work is currently being dealt with by the advisers and can act as a first point of contact for many clients.
- Facilitate arranging investments/policies/contracts for clients and liaising with the various parties concerned.
- Prepare accurate documentation to agreed timeframes for annual and half yearly review meetings, using our back-office system Xplan.
- Act as a ‘trouble-shooter’ in sorting out client related problems, providing support for the Client Managers, Advisers and Providers.
- Deal with ongoing administration on existing and new business.
- Complete all action points following a review meeting with a client, which could include but is not limited to: Preparing application forms and other documents for new account set ups / transfer; Complete and assist with trade and portfolio rebalancing, as required, adhering to our strict trading procedures; Use appropriate systems and processes to submit new business and record this on our back-office system compliantly; Schedule and manage admin tasks generated from client review meetings.
- Ensure that client records are kept up to date and filing of any documentation and emails is carried out on a regular basis.
- Contribute to and take an active part in project work within the team and provide input as and when required to help to constantly improve processes and the service provided.
- Ensure Anti-Money Laundering requirements are met in respect of all new business and client files generally.
- Process new business and submit to appropriate companies.
- Assist with the filing of new business and other records on Xplan and other systems.
You are the right person for the role if you have:
- Minimum of 3 A Levels or equivalent
- GCSE (x5) including English and Maths at grade B / Level 6 or equivalent
- Experience working in an IFA Firm and in dealing with private clients who are accustomed to a high quality of service; ideally at least 2 years’ experience
- Ability to provide product quotes/other paperwork, fund ratings/research, draft client letters, process client business, liaise with clients and product providers as required
- Good knowledge of MS office applications and IFA systems
- Strong attention to detail, ensuring all client work is completed thoroughly and any problems dealt with in a timely manner
- Excellent communication skills in order to deal with people at all levels
- Team player, works well under pressure, proactive, quick learner, flexible, approachable
- Experience with a wide range of investments, pensions and other products that may be arranged for clients.
- Willingness to take on additional responsibilities as and when required.
