Fleet Coordinator

Bristol

Permanent

As Fleet Coordinator with our client, you will manage daily defects using the R2C Fleet management software, prioritising repairs to ensure timely completion.

You will liaise with service providers to ensure that work is running to schedule and being completed within agreed timescales. Additionally, you will ensure the defect reporting system is being used correctly and monitor its effectiveness.

Key activities

  • Manage daily defects through R2C Fleet management software and prioritise repairs in a timely manner
  • Liaise with service providers to make sure work is running to schedule and being completed within agreed timescales
  • Ensure defect reporting system is being used correctly and monitor
  • Schedule all inspections/repairs with all service providers and send calendar invites to relevant supervisors
  • Deal with all warranty/recall issues- organise with company/dealership for repair and communicate booking dates
  • Manage and maintain all vehicle files, including monthly mileage entries on SAP.
  • Deal with and respond to daily email requests and telephone enquiries
  • Monitoring of vehicle telematics system
  • Assist with production of requisition orders for proforma invoices as required
  • Liaise with insurance department to make sure any vehicles are added or removed from MID
  • Ordering of Esso/Allstar fuel cards
  • Support investigations/fact finding associated with vehicle and/or driver incidents or infringements
  • Attend monthly owned fleet/winter fleet meetings when required
  • Any other task as reasonably requested by a member of Management

Essential qualifications/ knowledge

  • Good level of education including oral and written communication
  • Competent in Microsoft packages e.g. Outlook, Word and Excel
  • Driving licence (car)

Essential experience

  • Experience in customer service
  • Experience of maintaining electronic filling/database systems
  • Using and analysing data and numerical information
  • Knowledge of invoicing and/ or purchase orders

Desirable

  • Experience of working within a mechanical, fleet or heavy good equipment or transport sector
  • Driver assessment qualification
  • Knowledge of Road Transport
  • Knowledge of Fleet Management systems including Driver Vehicle and Standards Agency “Manage Your Operator Licence”, Fleet systems (R2C), telematics systems (Causeway) and Freight Transport Association Drivers Hours and Tachograph System
