Job description

We are hiring for a growing pharmaceutical company based in Watford.

Due to significant success, they have created a brand new position within their customer operations team which is responsible for all freight, export and distribution for the business. This is a 12 month fixed term contract, which will be reviewed towards the end of the cpntract on whether they will make the role permanent.

Working in a close-knit team, you will have solid experience working within international freight. You will have experience in managing international airfreight and compliance paperowrk. Dealing with queries and ensuring that an exceptional level of customer service is maintained.

My client is willing to train on the industry/pharmaceutical side.

You must be able to travel to the office twice a week. Initially, during training it will be slightly more days.

Duties:

  • Process all orders for international customers and contract manufacture customers onto ERP system (Syspro).
  • Produce commercial invoices for all international shipments according to customer/country requirements.
  • Liaise with the warehouse team regarding shipment requirements.
  • Liaise with inhouse quality team to gather and provide quality product documentation required by country of import.
  • Arrange any required export documents with chamber of commerce.
  • Book containers with freight forwarders and arrange container collections.
  • Book airfreight with freight forwarders and arrange collections.
  • Organise import approvals.
  • Produce shipping notes.
  • Arrange required freight insurance.
  • Courier all documents directly to customer in time for customer to import goods on arrival.
  • Arrange product testing with external laboratories.
  • Upload documentation onto country specific government portals.
  • Ensure bill of lading for all shipments are obtained from the shipping agents in a timely manner.
  • Gather and file all documentation relating to each shipment.
  • Any customer queries dealt with in a timely manner.
  • Raise any necessary miscellaneous invoices & credit notes.
  • email accounts and respond or forward to relevant team/individual.
  • Provide cover for other team members at busy times or times of sickness and annual leave.

Knowledge & Experience:

  • Previous experience with export shipping documentation and processes preferred.
  • Knowledge of export incoterms preferred.
  • Proficient in Microsoft Office.
  • Ability to work in a team environment.
  • Flexible approach.

  • Excellent organisational skills.
  • Accuracy and attention to detail.
  • Good communication.
  • Strong administrative skills.
  • Proactive, ability to work using own initiative.
