French speaking Executive Assistant & Office Manager

We are looking for a French speaking EA/OM with a minimum of 2 years experience within financial services ideally. A truly exciting role for a candidate looking to join a successful company and be part of a dynamic international team. Responsibilities will be varied and will involve a broad range of administrative and office management duties. 

EA responsibilities:

• High-level support to 4 Senior Executives 
• Diary management 
• Scheduling meetings internationally
• International travel arrangement  
• Processing of expenses
• Events organising
• Presentation of documents using MS Office suite

Office Management:

• Ensuring that execs have all equipment needed; proofing and ordering business cards; creating and maintaining a pleasant work environment
• Logging incidents such as spillages and breakages for the cleaners’ attention
• Liaising with IT support to resolve issues
• Checking meeting rooms are presentable, fully stocked and functioning correctly
• Reporting any issues and following up on completion
• Undertaking fire safety training and First Aid at Work training; awareness of risks and hazards
• Stocking printers and monitoring levels of stationery supplies
• Archiving, shredding, updating intranet
• Liaising with external suppliers – travel consultants, couriers, taxi firms
• Communicating with building management – car parking, deliveries, air conditioning units
• Directing contractors and logging works completed
• Visitor management
