Job description

Alliance Automotive Group are a leading distributor of light and commercial vehicle parts to the independent aftermarket in the UK, Ireland, France, Germany, Poland, Netherlands, Spain and Portugal. Alliance Automotive Group are proud to be the home of the NAPA Racing UK British Touring car team.

The Administrator role will form a key part of the Group HR Function based at our head office in Milton Keynes.

This role will initially be involved in several administrative projects around our new HR system implementation. However, day to day activities will also involve:

  • Being a the first point of contact for incoming HR queries via our ticketing system.
  • Assisting with sending offer letters and contracts via our ATS system.
  • Processing the details of completed offers from our ATS systems to the Payroll Team to further support the onboarding process.
  • Maintaining up to date electronic employee personnel files with information related to absence, holidays, starters, and leavers etc.
  • Preparing, issuing, monitoring the return of, and saving contractual change letters (for example change of hours, change of salary etc.) to employee personnel files.
  • Supporting managers across the business with various queries such as AWOL, Probations etc., including attending meetings as notetaker where required.
  • Preparing, issuing, and monitoring the return of letters and contracts for any business acquisitions.
  • Preparing and posting Anniversary Cards on a weekly basis
  • General administrative support to the HR department as required including filing, telephone answering, scanning, photocopying.

The ideal candidate would have:

  • Experience of working within a fast paced, high-performance team
  • High level of attention to detail
  • An understanding of end-to-end HR processes and procedures
  • An ability to plan and prioritise a busy workload to meet agreed targets/deadlines.
  • Good working knowledge of Microsoft Office, particularly Word and Excel.
  • A positive can-do attitude!
