Job description

Highland, homebased within a 30-minute commute of Dingwall for access to the office, minimum attendance required at the office is once a week, then as and when needed to fulfil responsibilities of the role.

Job purpose:
To support the HR Officer with the delivery of a professional, high quality and timely HR Service by providing effective HR administrative support across the full spectrum of HR administration. To deliver efficient office administrative support to meet the needs of Carers and the organisation.
Key responsibilities – What you’ll do:
HR Administration and support
• To provide high quality HR administrative support to the HR Officer with all day-to-day HR operations
• Recruitment administration, coordination and scheduling
• To ensure all conditional pre-employment checks are completed including reference checks, PVG, right to work and qualifications/professional registration
• To countersign PVG applications, checking ID documentation
• Prepare and issue conditional offers, contracts of employment and casual worker agreements to new team members and casual workers
• The scheduling, coordination and administration of onboarding, induction, new starter equipment e.g. IT access, laptop, mobile and tool kits, Connecting Carers fleeces, ID cards and lanyards
• The scheduling, coordination and administration of probationary periods
• The scheduling, coordination and administration of team member and casual worker training, learning and development
• Contributing to the recording and reporting of HR metrics e.g. absence, equality and diversity
• To provide support to formal processes by taking and typing up notes of meetings and hearings
• To support the HR Officer with planning and organising of employee engagement activities e.g. Birthday cards, celebrations, work anniversaries, employee surveys, lunch and learns
• To support the HR Officer with planning and organising of employee health and wellbeing activities and promoting public health campaigns, awareness days and themes of significance
• To absorb and record complex information through accurate minute taking for Board meetings on an ad hoc basis
Office administration and support
• To provide accurate administrative support to Connecting Carers projects within the organisation under the guidance of the HR Officer
• To deal with incoming and outgoing mail promptly
• To issue Highlife highland scheme letters to Carers
• To issue items to Carers such as e.g. sim cards, Wi-Fi boosters that Connecting Carers has been awarded/supplied with from other partners/organisations
• Photocopy, print and send out leaflets/literature for team members and partners as required
• Booking meeting rooms and arranging catering for Board meetings and whole team meetings
• Booking travel and accommodation
• Provide administration support for Connecting Carers local and national events
• Monitor, order and maintain stationery and equipment (with Finance Administrator)
• Ensuring the Connecting Carers office is kept neat, tidy and organised
• Standardise documents in agreed house style
• Organise and store paperwork, documents in electronic and hard copy format where necessary
• Preparing employee holiday forms for each holiday year (1st April to 31st March)
• Preparing the organisations monthly timesheet templates for the calendar year
• Monitoring and maintaining first aid kits/supplies
• Maintaining the drivers licence register (annual)
• Maintaining team equipment record
General
• Engage and participate in team huddles
• Participate in small working groups and short-term projects
• Practice data security and protection (electronic/digital and paper)
• Comply with the Connecting Carers policies and procedures
• To work flexibly as required by the needs of the service
• Take responsibility for continuing professional development by taking part in relevant training
• Undertake any other tasks or duties necessary to achieve the goals of the organisation under the direction of the HR Officer
