Job Summary:

Reporting to the HR Shared Services Manager, the role is responsible for providing guidance to a team of administrators who support the UK&I business and wider HR Team. The Team Leader is also responsible for working on reporting and data analysis.


Main Duties and Responsibilities:

Administration Lead

  • Oversee all administrative support for employees across gategroup based in UK&I, ensuring that SLAs and quality standards are met.
  • Drive continuous improvement of HR admin procedures, documentation, and processes to ensure consistency and compliance to legal requirements and avoid duplication.
  • Handle escalated queries from the HR administration team and resolve any issues promptly, also supporting the team with high volumes of work as required.
  • Co-ordinate and allocate workload across the team, ensuring information is processed to payroll and other stakeholders to meet deadlines.
  • Working and engaging with key stakeholders across the HRSS team e.g., Time and Payroll to ensure SOP’s/Business Processes are mapped/maintained and kept up to date as per ISO requirements.
  • Train and coach existing and new HR administrators in the team, ensuring that the team are cross trained on all aspects of HR administration, managing their performance and giving regular feedback.
  • Manage relevant external suppliers ensuring that the service is delivered according to the contract and business requirements.
  • Ensure employee personnel files and electronic records are held in compliance with Data Protection Act and that they are complete and updated.
  • Undertake administrative functions for referencing as required in connection with security issues, including advising and assisting management/employees in obtaining restricted zone airside passes, referencing and basic disclosure certificates.
  • Maintain a customer focused service in a timely and accurate manner.
  • To ensure documents are managed confidentially and accurately according to GDPR.
  • To ensure all trackers are kept up to date.
  • Suggest and support the implementation of improved ways of working and take a lead role.

  • To ensure other ad hoc duties are carried out as required.


Reporting – UKI& Regional

  • Ensure reporting is managed according to agreed deadlines and quality standards.
  • Review and update scheduled reports.
  • Generate reports, analyse data and prepare updates for management teams as required.
  • Support with HCM audits.
  • Analyse and report on trends and variations to include monthly and quarterly requirements.
  • Participate in procurement induction and continuous training courses.


Qualifications and Experience:

Education:

  • HR-related qualification (CIPD level 3) desirable but not essential.
  • Good level of secondary education (A level or equivalent)


Work Experience:

  • At least 2 years’ experience of working in a HR administrative role.
  • Familiarity with referencing, including airside (CAA & DfT) rules and regulations.
  • Experience of working in a fast-paced, high-volume workload and complex HR environment.

  • Ability to delegate effectively.

  • Display a proactive and flexible attitude.
  • Advanced working knowledge of Microsoft Applications (Outlook, Word, Excel)
  • Advanced working knowledge of HR data systems e.g. Workday / SAP
  • Understanding of relevant legislation (e.g. DPA, DfT, CAA, Home Office)


Other information:

All applicants must have the right to work in the UK, undertake a CRC (Criminal Record Check) and provide 5 years of checkable referencing history. For anytime spent outside the UK exceeding 6 months, you must be able to provide a CRC (Criminal Record Check) for that country.
