Primary Responsibilities
- Responsible for providing a high standard of secretarial & Administrative services to the CIO, International Equities and Investment Team.
- Liaise with directors, executive assistants, and other PMs, ensuring meeting function requirements as above, taking into consideration travel and time zones where applicable and organising conferencing facilities if required.
- Diary management for CIO, International Equities and Investment Team to arrange internal committee meetings.
- High level accuracy and time management to deal with complex international travel arrangements and expenses processing for CIO which consists of liaison with multiple travel agents and intricate trip combinations.
- Arrange US Company Research meetings for the Team.
- Provision of a timely and accurate word-processing service including extensive email correspondence and liaison, itineraries, letters etc.
- Organise Offsite Meetings – including finding a venue, arranging appropriate facilities i.e. AV equipment, catering, travel arrangements to venue, etc. and using Concur to process expenses related to these including obtaining finance authorisation.
Background experience
- Proactive and enthusiastic EA/Administrator with approximately 2 years relevant industry experience ideally from an investment management / financial services background.
- Provide an exceptional level of accuracy and time management in all areas including extensive diary management at C-suite level.
- Experienced in using MS Office suite.
- Team player who has the ability to work with executives and employees at all levels.
- Highly organised and ability to prioritise workload.
- Must have strong communication and interpersonal skills.
- Excellent level of written and oral communication skills.
- Attention to detail.
