Job description

Study Leave Applications Ensure that all Study Leave applications are received and processed in a timely manner in line with NHSe and Trust guidance, policy and process Use own judgement and initiative to deliver timely communication with UHP departments and service users when there should be any queries, with follow up and using own judgement to escalate as necessary Monitor the JSSL inbox, answering any questions or queries from service users Follow the checks and verification processes to ensure that all applications have necessary information & approvals, as well as accuracy. Pass reviewed and correct applications to MEM for approval review and authorisation. Maintain Study Leave database records Maintain central service user files, ensuring all records are filed appropriately and in accordance with the process. Expenses Match expenses against Study Leave application, ensuring details such as dates, days and event details reflect the original application Check expenses against the Study Leave policy ensuring budget caps have been applied when verifying expense form, acting as first authorised Ensure all receipts are accounted for and reflect expense for Maintain excel financial records for MEMs budget and for submission to NHSe and UHP payroll Submit expenses in accordance with NHSe and payroll process and deadline Communicate with service users in a timely manner should any questions or queries arise during the process which at times may be complex in nature. Support to the Postgraduate Medical Centre Office and Team To provide general office support within the Postgraduate Medical Centre Office as part of the administration team including but not limited to Liaising with delegates, catering staff, medical reps, suppliers, and other Centre users. Support to presenters including how to use the centres audio-visual equipment. Re-organisation of seminar room furniture and display equipment including the movement of chairs, tables and screens as required. Taking provisional room bookings. Opening and closing of the teaching rooms and the Centre as a whole. There may be occasions where you are required to work an evening or during the weekend, but this is not often, and adequate notice is given Financial administration for the PGMC, including, but not limited to, ordering equipment, catering, stationery, ensuring all financial recording is carried out as appropriate and in line with Trust financial regulations Reception cover and answering telephones.
