The Role
Based in the School of Medicine in the busy Medical Student Office within the Faculty of Medical Sciences, you will provide administrative support to ensure the smooth and effective running of the School’s programmes.
The balance of responsibilities will vary according to the nature and scale of the programmes within the School.
You should have excellent organisational and interpersonal skills; be able to demonstrate high levels of accuracy and attention to detail; be a team player; and possess the ability to use your own initiative and to prioritise your own workload. Flexibility, discretion, tact and diplomacy are also essential, as is a comprehensive knowledge of Microsoft Office packages.

Key Accountabilities
  • To provide administrative support to the Learning and Teaching function of the School across the full student lifecycle (from registration, through progression to completion)
  • To be responsible for planning, organising and advertising the programme of MBBS staff development sessions around the Northern Region. The programme will include face-to-face sessions as well as some delivered virtually
  • To maintain the electronic Staff Development booking and reporting system with respect to setting up workshops, sending and tracking invitations, as well as uploading training materials
  • To manage the ‘workshop’ evaluation process and to produce reports as required on activity and satisfaction
  • To plan and organise the biennial Clinical Teaching Forum, a full day of workshops open to all clinical teachers associated with Newcastle University MBBS curriculum. In the Region and the organisation of a key programme of engagement activities for students and staff including Year 4 Careers day, student induction programmes, Regional Administration day and Regional General Practice meetings
  • In line with the strategy agreed by the Innovation and Development Committee, organise the processes for developing new resources in support of staff and student development
  • Where appropriate to act as secretary to designated meetings, including agenda preparation and circulation, minute taking and monitoring progress of actions
  • Responsible for organising and supporting the prize awards associated with the MBBS programme and provided by external sources. This will include planning and organising the annual prize event to recognise student success and achievement
  • To support the organisation of practical assessments and assist in setting up examination venues when needed
  • Any other duties within the scope and general nature of the grade which may be required. This includes some flexibility in working hours and may include occasional weekend working (in the region of two Saturdays per year)
The Person
Knowledge, Skills and Experience
  • Relevant experience in a previous clerical or administrative role
  • Working knowledge of relevant systems equipment, processes and procedures including standard software packages
  • Ability to communicate clearly orally and in writing and able to tailor content of communication to different audiences
  • Good I.T. skills with proficiency in the use Microsoft Office products and other software packages
  • Good written and numerical skills
  • Familiarity with work priorities and those of colleagues
  • Basic understanding of relevant policies and procedures, as they affect the role
  • Understanding of relevant policies and procedures, as they affect the role with the ability to apply relevant health and safety and other University policies and procedures
  • Excellent interpersonal skills including managing confidential and/or sensitive information with tact and discretion
Desirable
  • Experience of acting as a secretary in meetings, producing agendas, minutes and following up actions
Qualifications
  • English Language and Mathematics at GCSE Level 4 or equivalent plus work experience in a relevant administrative role or substantial relevant work experience in a comparable setting
