Job description

Property Management Recruitment are seeking an experienced Leasing Manager to be responsible for letting void properties, delivering an excellent service and being the dedicated point of contact for an exciting Build to Rent development in Birmingham.

Key Responsibilities:

  • Creating good customer relationships with all resident (existing and perspective) by sending regular updates and communication in a professional manner even when delivering difficult messages.
  • Welcoming all new residents, registering new applicants on the IT system; taking enquires from prospective or existing customers and matching with them properties suitable to their needs.
  • Keeping up to date records of all customer contact on IT system to ensure a full audit trail exists.
  • Provide useful tenancy and property information to new customers
  • Carry out regular internal apt inspection and in line with reposit policies requirements where relevant.
  • Arrange lock changes and ensure a management set of keys is retained and registered in the key management system.
  • Managing the lettings and offer process from end to end, including arranging and undertaking viewings and checking in appointments with customers and agents; handling multiple offers and confirming offer details to customers; conducting market research to identify local trends and market rents and taking action on all feedback after viewing to ensure required improvements are made.
  • Ensure all our advertisements are up to date and refreshed on a regular basis.
  • Ensure property is let in a good condition
  • Qualify applicants by ensuring customer conforms with right to rent requirements, passing the proof to the relevant team members and starting the reference checks.
  • Dealing with tenancy surrenders, goods removal and vacating customers. Liaise with Credit Controller to include ensuring outstanding monies are collected, notices served and updating status on IT system and then passing on to relevant parties.
  • Manage tenancy renewals, ensuring customers qualify for renewal prior to offering renewal terms and sending renewal deal sheets.
  • Provide monthly report on competitors and local market conditions.
  • Regular audits of TDS and Reposit accounts.
  • Track progress of all deals and support leasing coordinators with the collection of references, contract signing and move in monies.
  • Ensure that all listings are updated and correct on a daily basis.
  • Ensure that all reporting requirements are completed on time.
  • Meeting rental growth targets on both new lets and renewals.
  • Ensure that comprehensive check in, check out and interim reports are completed for all tenancies.
  • Manage dilapidations and deposit deductions following check out inspection.
  • Ensure good inter-team working relationships and strong communication with both internal and external customers at all times to ensure the best possible service
  • Produce accurate information and reports for weekly/ monthly meetings.
  • Support the Marketing Team to implement engaging community building events for residents

Person Specification:

Essential

  • Property Management experience within a Customer-focused environment.
  • Required authority, kill and support to creatively address customer needs across the portfolio.
  • Actively embrace and work within the Company Values.
  • Able to show an understanding of and commitment to good customer care.
  • Able to show an understanding of and commitment to property services and managing landlord and customer relationships.
  • Able to communicate effectively and clearly in writing and verbally, including drafting correspondence and documents .
  • Strong attention to detail.
  • Ability to work in a varied and demanding role with appropriate supervision.
  • Ability to work to strict deadlines and be organised and efficient.
  • Demonstrable experience and ability to use ICT packages i.e. Microsoft Word and Excel.
  • Self-motivated, with high energy and enthusiasm.
  • Pragmatic, creative approach to problem solving, with emphasis on fast and practical solutions.
  • Demonstrable experience of taking responsibility for own actions and development opportunities, maintaining high levels of integrity.

  • Knowledge and experience of using HubSpot

Working Pattern: Monday - Friday, 9am-5:30pm
