Job description

The role of the Medical Secretary is to provide secretarial and administrative support to the Pain service team. The service includes Pain clinic, in-patient pain and Pain Management service.
The role is varied and involves typing, organisational and communication skills. The role includes being the first point of contact for all forms of communication, responding to patient enquires, booking outpatient and inpatient appointments helping to ensure the effective day to day running of the service.

The post involves communication with often distressed patients waiting to access the Pain Clinic for consultation and or procedures. It is therefore important to act in a calm professional and approachable manner.
The physical aspects are to produce clinical and routine correspondence to health professionals, patients and their carer’s. Arrange patient appointments and in patient treatments. Coordinate within the Pain services team the different patient pathways. This will also involve preparation and manual handling of patient medical Enotes.
Sort, distribute and prioritise internal/external post, including communication by e-mail. Requesting case notes as necessary.
General correspondence, reports and other communication by use of advanced keyboard skills using digital formats such as Dragon Medical/Winscribe as directed utilising the ability to accurately transcribe dictation, understanding the context and re-arranging as necessary.
Obtain hospital case notes from both within the Trust and outside Trusts when required (ensuring case notes are tracered accurately using PAS at all times and returned to Health Records in a timely manner). Data quality check the outcomes of clinic annotations altering PAS to reflect the relevant clinical notes in close co-operation with reception staff.
Bring to the attention of the clinical and Pain Management team staff all patient correspondence and communication in a timely manner and act on any instructions given regarding these.
Book inpatient day case procedure lists as directed
Assist in the booking of patients to the pain management program and the associated administration associated with this service.
Book follow-up appointments as required/requested in line with Trust Policy.
Ensure case notes are maintained in accordance with the Trust’s Case Note Management Policy and that all correspondence, reports and results are filed correctly and in a timely manner.
Ensure a good working knowledge is maintained of RTT rules and guidance.
Minute taker MDT or department meetings as required
Maintain stock levels via Unit 4.
