Medical Secretary / Surgical Booking Coordinator
We are looking for an enthusiastic, reliable individual to join the Dermatology administrative team as a Medical Secretary and Surgical Booking Coordinator. This interesting role will include efficient management of the dermatology surgical waiting list and provide an efficient and comprehensive secretarial support.
You will require excellent communication and organisational skills and be able to manage your workload. You will need to be self-motivated, able to work in a calm, logical and methodical way but be able to multi-task whilst dealing with frequent interruptions.
You should also have sound experience of PAS, particularly BEA, and a robust knowledge of the current NHS referral to treatments targets along with the practical experience to back this up. This role involves working closely with the Clinical Administration Lead to support the delivery of national access targets.
The primary role of the Medical Secretary and Surgical Booking Coordinator is to ensure Surgical Booking is carried out in line with the Trust’s Access Policy with the Clinical Administration Lead (CAL) and the Divisional Management Team, ensuring best practice is maintained at all times. To provide comprehensive secretarial and administrative support to clinical staff using a range of secretarial procedures in accordance with the processes. To contribute to the effective delivery of patient care, through knowledge of consultant practice and hospital systems. To be flexible to provide cover for colleagues as necessary.

Use knowledge and experience of booking systems to deliver waiting time targets, in accordance with the Access Policy.
Take and process telephone calls in an appropriate manner using Netcall. Telephone calls will involve contact with patients, carers and health professionals and may involve the provision of non-clinical advice.
To manage elective waiting lists for consultants and speciality within dermatology, utilising PAS systems, particularly BEA, and Galaxy theatre system.
To make decisions on a number of situations, often at short notice, using judgement and analytical skills. This may include requests for immediate cancellations/re-arrangement of lists from clinicians and senior managers, whilst taking into account Trust priorities.
To use the PAS systems to book appointments for patients using knowledge of clinical specialities to book patients into the correct appointment slot (based on PAS training and experience).
Sort, distribute and prioritise internal/external post, including communication, send for scanning to eNotes.
Data quality check the outcomes of clinic annotations altering PAS to reflect the relevant clinical notes.
Bring to the attention of the clinical staff all results in a timely manner and promptly act on any instructions given regarding these.
Book follow-up appointments as required/requested in line with Trust Policy.
Arrange hospital transport as necessary in accordance with Cornwall Transport Policy.
Ensure a good working knowledge is maintained of RTT rules and guidance.
To use PAS computer systems to input, amend, delete and modify data and information accurately and consistently.
