What you'll be doing...

Reporting to the Operations Manager/GM you can expect your working day to include the following.

  • Conversion of ME enquiries into bookings on the phone, in person or via email and sometimes face-to-face client meetings including show rounds of the property
  • Working to key deadlines with 3rd party platforms to secure the future business.
  • Work well with all departments to ensure information is gathered and dispersed promptly to allow the operation to deliver this to the customer.
  • Manage all meeting requests to chase to covert and issue contracts to clients to secure revenues, plus pre-payment received before the event for clients without credit.
  • Driving sales through strategic planning of dairy management to maximise revenues and hotel TrevPar
  • Liaise and communicate special requirements to other departments to meet the client or customer needs e.g. VIPs, dietary requirements, room layouts.
  • Client-facing role where you will meet and greet them when they arrive in the conference centre – being the first port of call for clients throughout the day, as well as ensuring the breakout area is clean, organised and stocked up
  • Be responsible for your own time management to meet the daily and weekly commitments of the role along with your own personal development at work.
  • To show a high level of commitment and enthusiasm with every task to help the business drive customer satisfaction and sales targets.
  • Take a positive approach towards upselling and confidently promote the product to maximise hotel revenue to meet and exceed budgeted targets.
  • Obtain client feedback after events to share with operations to improve our offering and secure repeat business.
  • To secure payments for conferences/group bookings before services are offered, along with posting daily revenues as per agreed contracts.
  • Creating group contracts and group bookings including inputting rooming lists into the system.
  • Weekly revenue updates for the next 12 months to the GM /Commercial team to show need periods to allow for external support to maximise the space/rooms
  • Facilitate and approval to a company standard of all bedroom commission invoices
  • Duty manager shifts maybe required to covered as apart of the role
  • Support operations as and when needed along with requests from management to fulfil roles not outlined above to meet the business needs.

To succeed in the role of ME/Groups Co-Ordinator , you will need the following qualities and skills.

  • Previous experience in a similar role
  • Excellent leadership and communication skills.
  • Strong organisational and problem-solving abilities.
  • Ability to thrive in a fast-paced environment and handle multiple tasks effectively.
  • Good time keeping strong organisational skills.
  • Knowledge of StayNTouch Event Temple is desirable.
