Department: Membership Office
Location: Belfast - Hybrid working
Reports to: EO - Membership Office
Job Type: 6 Months - Full-time Post
Salary: Minimum point on the AO scale £23,071 - £24-507

Job Overview:

As a Membership Services Staff Member at NIPSA, you will play a crucial role in ensuring the satisfaction and engagement of our union members. This position involves providing exceptional customer service, managing membership databases, inputting and manipulating data and actively contributing to the growth and retention of our membership base. The ideal candidate should possess excellent communication skills, have demonstrable experience of Microsoft Office in particular Excel, attention to detail, accuracy and a strong commitment to supporting the needs of our members. This post requires someone with experience of handling sensitive information with the highest level of discretion.

Key Responsibilities

As directed by the EO Membership Services or other Senior Staff:

1. Member Engagement:

  • Foster positive relationships with union members and union branches through regular communication channels including telephone, letters, emails and face to face meetings as and when required.
  • Respond promptly to member inquiries, concerns, and requests.
  • A knowledge of Data Protection and GDPR

2. Database Management:

  • Maintain accurate and up-to-date membership records in the union database including sorting, cutting and pasting in Excel.
  • Process new member applications, renewals, and membership status changes.
  • Generate reports or required information and utilise data analytics to identify trends and opportunities for membership growth as required.
  • Interrogate the system as required.
  • Filing as required

3. Communication:

  • Collaborate with the EO Membership Services, membership services team and other senior staff team to develop the membership system.
  • Communicate with a range of employers in relation to membership data, subscriptions, queries and other matters as required and to a high standard.
  • Communicate with a range of NIPSA HQ staff and Seconded Officers
  • Communicate with members as required.

4. Member Benefits Administration:

  • Administer and communicate member benefits, including, discounts, and other services.

5. Campaign Support:

  • Support membership recruitment and retention campaigns including formatting information for a range of campaigns.
  • Work collaboratively with other union staff to achieve organisational goals.

Essential Criteria

  • Strong interpersonal and communication skills.
  • Minimum of 5 GCSEs including English Language
  • Experience in customer service or membership management.
  • Confidentiality: Demonstrated ability to handle sensitive information with discretion.
  • Minimum of 3-5 years of experience using Excel and Microsoft Office Suite.
  • Proficiency in database management and Microsoft Office Suite.
  • Ability to work independently and collaboratively in a team.
