Multi-Skilled Operator
Job title: Multi-Skilled Operator
Salary: £26,000 per annum
Location: Herbert Smith Freehills - Exchange House, Primrose Street, London, EC2A 2EG
Contract: Permanent, full time
Hours: 37.5 hours per week
Shifts: 7.5 hour shifts worked Monday through Friday between the hours of 07:00 - 22:00
Work model: In person

Purpose of the Role:
As a Multi-Skilled Operator you are proactive and an excellent communicator with proficiency in customer service and reprographics. This role manages daily operations and administration including taking inventory, ordering stock, audio/visual triage, mail distribution, client communications, and reception cover. The ideal candidate is eager to learn and has the attention to detail necessary to complete multiple requests in a timely fashion. Key Responsibilities
  • Ensure all deadlines are met and renegotiate those that are unachievable in a proactive fashion by liaising directly with the client
  • Escalate issues to the line manager where necessary
  • Ensure that all logs, forms and work-related administration are completed in an appropriate manner
  • Escalate any potential operational or Health & Safety issues to your line manager
  • To ensure that any training needs are requested in writing to your line manager
  • Adhere to all site procedures as are recorded within the operations manual
  • To ensure you arrive in good time ready to start work on your given shift
Stationery Administration
  • Dealing with customer requests (email, phone, in person & overseas)
  • Checking stock levels of paper, reprographics supplies, stationery cupboards & general supplies
  • Ordering stock, ad-hoc requests, printed matter, reprographics supplies, etcetera
  • Delivering ad-hoc requests
  • Filling stationery cupboards
  • Stock reconciliation
  • Delivering files and dividers
  • General administrative duties
  • Ensure the store areas are kept tidy and free of rubbish and old binders are sent off for recycling

Mail
  • Checking the in/out trays and processing inbound/outbound mail
  • Collecting and delivering twice daily runs to headquarters
Office Services
  • Act as a point of contact at the reception desk and triage any incoming queries as follows:
  • Divert room booking queries to reception or reservations
  • Divert facilities queries to the office operations help desk
  • Dealing with locker issues
  • Issuing and logging day passes
  • Notifying staff of any arriving visitors
  • Room checks at the start of shift and during to ensure rooms are tidy
  • Checking of kit in meeting rooms
  • Room set up of social space – moving the wall

Key Competencies
  • Excellent customer focus
  • Proficient in Microsoft Office - Word, Excel, PowerPoint, and Outlook
  • Strong administrative skills including mail and stationery
  • Effective communicator (verbal and written)
  • Skilled in planning and organisation
  • Able to work to tight deadlines and prioritise workload
