About The Role

As we are now a Top 60 Law Firm, 800 strong with 10 offices across the UK, the scale of the of central operation and administration required to support this has also grown exponentially.

We are currently looking for a proactive, highly organised, experienced and service focussed individual to fill a crucial Notarial Assistant role. It will be based in Worcester and will report directly to the Public Notary, providing administrative support. This role will be most suited to somebody with experience in a customer focussed role as a big part of the role will liaising with clients, booking appointments, attending meetings and assisting with the drafting of documents.

Role of a Notarial Assistant:

  • Liaising with potential notary clients to ascertain their needs and understand what document may need notarising.
  • Liaising with the Public Notary and the client to arrange a suitable time for an in-person meeting.
  • Ensuring that the document to be notarised is suitable in advance of the meeting and arranging for scans to be sent across.
  • Liaising with client’s lawyers/receiving jurisdiction.
  • Attending the meeting with the Public Notary and the clients and ensuring copies of the documents are ready in advance.
  • Taking payment during the meeting.
  • Sewing/preparing documents to be Apostilled and making the applications.
  • Liaising with our agent and the FCO, providing updates to client via email.
  • Preparing invoices after the meeting and sending to the client.
  • Reconcile invoices with the bank.
  • Assist with filing and writing up of records.

About You

Person Specification:

Training will be provided on the notarial support (experience is not a prerequisite). However, you will need to demonstrate strong organisational skills and use good initiative at all times.

  • You will have strong administration experience and demonstrate excellent attention to detail in all aspects of your work.
  • Have a broad knowledge of administrative tasks in legal practices.
  • Strong customer service skills.
  • You will have excellent grammatical skills and be fluent in all word processing packages with an understanding of legal terminology.
  • Ability to independently manage workload.
  • Demonstrate a sound knowledge of IT skills in Microsoft Office, Outlook, Word, Excel and Teams, Zoom, etc.
  • Experience within a professional services environment is preferred but not essential.
