Office Administrator to join our team in Westerham. As Office Administrator at Calder Davis Wealth Management, your responsibilities will include:- Serving as the primary point of contact for clients, addressing queries and managing expectations promptly and professionally.
- Coordinating third-party support services to ensure efficient case management.
- Overseeing the end-to-end review process for clients, ensuring timely completion and accuracy of documentation.
- Maintaining office operations, including but not limited to updating client digital records, supply management, and diary management.
- Ensuring the smooth running of day-to-day administrative tasks to support the team.
- Creating meeting packs and drafting review letters for client meetings.
- Preparing and distributing client sign up packs and then processing business submissions.
- Assisting in organizing marketing initiatives and client events to enhance client engagement and retention.
- Scheduling client meetings within relevant timescales, coordinating with internal and external stakeholders.
- Establishing and maintaining relationships with external third-party providers to collect client plan information.
- Preparing and reviewing outgoing internal and external correspondence and reports, ensuring accuracy and confidentiality.
- Maintaining accurate records in client management systems such as Salesforce, Asana, and DocuSign.
At Calder Davis Wealth Management, we're looking for an Office Administrator with the following:- Previous experience in an office support role, preferably in financial services advantageous but not a requirement.
- Knowledge of relevant regulations and legislation (desirable).
- Experience with client management systems such as Salesforce/Asana/DocuSign (desirable).
- Proficiency in Microsoft Office suite (Outlook, Word, PowerPoint, Excel).
We are open to full time or part time hours and can be flexible to work around family commitments. Office attendance 2/3 days per week but a genuinely flexible role which will be discussed on a candidate-by-candidate basis.
