My client is a successful Commercial Property firm based in Belfast, built on their vast industry knowledge and expertise, they offer informed advice and guidance on sales, leasing and acquisition of retail, commercial, retail, office and industrial properties up and down the UK.
They have an enviable list of retained clients who trust them to identify, source and secure suitable properties to enable them to expand their business offering into new cities/regions. Many of their clients are well known branded retailers, restaurant groups with a presence at a national and international level.
Due to ongoing business success they seek to appoint a full-time permanent Office Manager / PA to provide administration / clerical support to the two Directors. You will facilitate the smooth running of back-office processes / functions to enable them to focus on the technical aspects of the business to meet client needs and demands.
Key duties: -
-Dealing with initial property enquiries.
-Preparing and co-ordinating marketing tasks, liaising with desktop publishers, photographers, other third parties.
-Ensure all property inventory is on all necessary websites and remains up to date.
-Collating property information, filing and presenting in excel format where necessary.
-General office administration including dealing with insurances, invoicing and dealing with third party suppliers.
-Preparing offer material or Heads of Terms.
-On occasion performing property viewings.
-Arranging travel plans and client hospitality.
-Co-ordinating social media.
-Assisting with compliance matters.
-Assisting in targeted marketing tasks such as researching target tenants etc.
You will have a proven track record of being highly organised with strong administrative, IT and customer service skills. You will be self-confident, super organised, have a positive attitude and be a natural communicator. Ideally, you’ll have 2 years’ admin/clerical experience gained in a property / estate agency / office environment, desirable but not essential.
You will be adept at completing set tasks, following processes and working to deadlines. You’ll enjoy working as part of a small team and relish the opportunity to use your own initiative. You must be computer literate with confidence using Microsoft Office especially Excel.
Starting salary is £28,000 to £30,000. Office hours Monday to Friday 9-5 based in really smart city centre offices with 1 day per week Hybrid/Remote option. 28 days holiday, company pension, healthcare, parking.
