Job Description
The scope of this role is to:
- Support the Chief Executive Officer (CEO) and Chief Operating Officer (COO) to ensure the highest quality, impactful, inclusive and consistent operational, business and project delivery.
- Be accountable to the CEO for the smooth running of the office and back office.
- Lead on day-to-day office management decisions.
- Take a lead role in key areas including Finance, Marketing, Office (Health & Safety, Facilities and Environment, IT, Data Protection, Security, GDPR, Risk), Tools, Systems and Processes, HR and Team Support, Project Logistics, Project Budgets and Managing Impact.
- To manage a potential part-time Administration Assistant.
- Lead by example in embodying the enterprise’s values and ensuring that the enterprise’s vision is embedded in its operational practice and the experience of its trainees and other beneficiaries.
- Play a lead role in driving the Marketing Workstream forward (overseen by the Lead Facilitator).
- Support the CEO and COO in a Personal Assistant capacity.
- Support the CEO in developing business knowledge, research, financial planning and tender/funding compilation.
Management Responsibilities
- You will manage day-to-day back office logistics and office management and decisions, liaising with the Administrative Assistant and CEO as well as COO in their roles.
- You will potentially manage an Administrative Assistant.
- You will be responsible for leading on elements of the implementation of the Marketing Workstream as directed by the Lead Facilitator.
- You will support the CEO
Day to day - you will have oversight of the areas below and work closely with the CEO, COO and Lead Facilitator in the execution of your role as Office Manager. You will:
- Be the Office Management lead, working closely with the COO, Lead Facilitator and CEO for day-to-day oversight. You will ensure that the organisation is safe, compliant and a healthy place in which the team can achieve the mission. This includes oversight of the Cleaner.
- Play a key role in ensuring decisions and that the back office contributes to our aim that People thrive and are happy in their roles as well as have the tools to do their job.
- As Office Manager, you will play a key role in recruitment, developing and maintaining good induction systems and maintaining confidential HR systems.
- Have a key role in understanding and keeping abreast of Project plans with the COO and Lead Facilitator to ensure that all logistics are catered for and systems in place.
- Work closely with the COO and Lead Facilitator in ensuring not only that the relevant data is captured and the systems meet their needs, but that they also have the data required for the commitments in Managing Impact. This will include designing and developing template reports (branding etc). You will potentially manage an Administrative Assistant to ensure data is captured appropriately.
- Play a key role in Operational Workstream plan around quarterly reviews on delivery and strategic development to ensure the organisation is relevant and sustainable. You will lead and present on the Office workstream.
- Have oversight of key project budgets and undertake day to day financial activities including purchases, bookings of services/products, managing invoices in Quickbooks and Autoentry and keeping abreast of the financial needs of the business including keeping the delivery budget up to date.
- Ensure your own development and bring your insights, sector good practice and Office Manager development learning into the team for the purposes of sustaining the Enterprise.
- Work with the Lead Facilitator on the Marketing Workstream, including having a creative role in developing and scheduling content, analysing its impact, updating the website, drafting newsletters and contributing to the vision for our marketing output.

- This position is Norwich-based with flexible & hybrid working. As Office Manager we will need you in the office for at least half the week.
- You will receive 26 days of annual leave (plus bank holidays) rising to a maximum of 30 pro rata
- You will be subject to an enhanced DBS check
- You are not required to have a car
