Our client is seeking an Office Operations Manager to join their Corporate Services team in their Belfast head office. The role is a broad role involved in many aspects including, Executive Assistant for the Board, execution of the day-to-day operations of the company and office, management of IT delivery, management of ISO 27001 process, management of suppliers and general administration. The role covers a wide scope of activities and involves interaction with employees at all levels within the company. The role will be responsible for driving operational improvement as well as supporting the wider management team. This will be a key role in helping to develop the operational platform to support the continued high growth levels of the business.
Key Responsibilities
This is an extensive and expanding role so the below is not exhaustive, and there is an exciting opportunity to expand this role.
Key responsibility of the running of a busy consultancy office.
Responsible for the management of our IT Managed Service Provider ensuring delivery within service level agreements and efficient management of systems for the assurance of high-quality client delivery.
Responsibility for standardisation of IT equipment, in office and for those working remotely to ensure seamless ability for client delivery.
Responsibility for management for Information Security with particular ownership of ISO 27001 and Cyber Essentials certification. Ensuring the maintenance of the certification and looking to advance certification in other areas for wider client delivery and scope.
Key management of office supplier relationships, managing costs efficiently and timeliness of delivery for the running of a high-performance business.
High level diary management, coordinating the diaries of the Executive Board.
Management of the company's all staff diary and organising the logistics of internal meetings and events, supporting the Directors, HR, Marketing and Employee Engagement Committee for delivery.
Management of all travel and accommodation.
Management of Health and Safety and acting as Health and Safety representative in the office.
Essential Criteria
High degree of personal drive and motivation to succeed.
Strong organisation and project management skills
A minimum of 5+ years' experience in a similar role
A high degree of confidentiality and discretion
A n understanding of the risk management issues relevant to information security with experience in managing our retention of ISO 27001 accreditation.
Strong proficiency with MS Office including Sharepoint
Proven ability to think proactively and come up with ideas for enhancements on efficiency and delivery.
Experience of dealing with multiple stakeholders on a professional and sensitive basis to enable our consultants to focus on high quality client delivery.
Strong relationship management skills
Outstanding levels of professionalism, integrity, interpersonal and time management skills and excellent communication
A great team player: managing, supporting a wide range of individuals to enable them to be successful.
