Job description

Optical Receptionist Hastings with occasional cover in other branches Monday to Friday 8.45am to 5.30pm and Saturday 8.45am-4.00pm GBP22,500 per annum

Established in 1949, our client offers independent, quality eye care in Hastings, Lewes, Tenterden and Rye, and is an approved provider by the Conquest and William Harvey hospital clinics.

In this role, you will assist with the efficient running of the branch by providing support and assistance to the resident Optometrist(s) and Locums, and Dispensing Opticians. Your principle duties will include

Patient Management

  • To provide a high quality, professional reception and administrative service to patients, staff and colleagues
  • To act as the first point of contact for patients contacting the practice and to portray the practice in the highest possible professional basis

Overseeing practice clinics to

  • Monitor types of appointments being booked
  • Ensure that appointments are booked correctly
  • Ensure that each clinic has an appropriate composition in terms of patient types
  • Checking customers in on arrival and ensuring all personal details are correct, email address, DOB, home address and GP surgery
  • Helping with customer complaints in accordance with agreed internal policies and procedures
  • Monitoring correspondence with patients to ensure that recall letters are issued correctly and that up-to-date marketing materials are sent out. Checking and responding to emails
  • Advise customers of relevant charges for private and NHS services and products and except payments and issue receipts for the same

Conducting visual fields tests, Optomap and OCT scans to assist the Optometrist

  • Typing of doctors letters and referrals
  • Processing direct debit requests/cancellations and ordering of contact lenses
  • Understanding and adhering to the regulations surrounding supply of contact lenses
  • To aid the Optometrist and advise on the application and removal of contact lenses
  • Booking in and accurately checking contact lenses against customer records

Stock Management

  • Booking in and pricing stock to ensure minimum stock holding
  • Assisting with the implementation of price changes and monitoring/ensuring consistency of charges and fees
  • Providing the Group Practice Manager with lists for solution and accessories stock required

Health & Safety

  • Liaising with the company s health and safety co-ordinator and to identify areas of concern / issues requiring attention and implementing agreed solutions in respect of same
  • Adhering to policies and procedures
