Role overview:

This is a brilliant opportunity to for a talented and experienced individual to join an established PA team, supporting the sales agents and directors within the department. 

The Country Department is responsible for advising on and selling some of the finest Country Houses and estates in the UK.

This is a varied role comprising standard PA duties as well as ad-hoc and ongoing project work, that will suit someone with a desire to become integrated into the wider team, whilst establishing rapport with key stakeholders and clients locally.

Key Responsibilities:

  • Full diary management, including booking meeting rooms, setting up conference calls, Zoom and MS Teams meetings and guest arrangements where required
  • Efficiently handling incoming calls and emails in an appropriate fashion
  • Administrative duties such as writing emails, producing valuation reports, obtaining information from the Land Registry and planning portals, producing team Track Record reports, letter writing and event invitations
  • Guiding clients through the compliance process ensuring we have the correct documentation on file
  • Generating offer letters and memorandum of sale
  • Curating and producing property brochures
  • Commissioning photography, floor plans, Energy Performance Certificates and maps
  • Working with Promap to produce land plans
  • Booking market appraisals and sending out pre-appraisal emails with Savills Microsite and agent CV's.
  • Reporting from Savills CRM system in accordance with Savills Key Performance Indicator targets (i.e. report showing buyers that need to be contacted)
  • Regularly maintain the agents’ contacts on Reapit (Savills CRM system) – assigning appropriate mailings and event invitations
  • Submitting team expenses
  • Work with a wider team to support the Division (HR, Marketing, Finance)
  • Internal and external event planning (and attendance where required)
  • Keep up to date with any Company changes which require communication and/or actions
  • Ensure team holiday is recorded and taken in accordance with Company guidelines
  • Curating property adverts for submission to the marketing team
  • Providing information to the social media and PR teams for property promotion
  • Raise purchase orders
  • Regularly producing PowerPoint presentations
  • Recording minutes at weekly and monthly department meetings.

Skills, Knowledge and Experience 

  • An experienced PA, who will have demonstrable experience working at a senior level
  • Be confidential, forward-thinking, able to work under pressure and deal with conflicting priorities
  • Strong organisation and time management skills
  • Excellent communication skills at all levels and via all mediums
  • Meticulous attention to detail
  • Strong working knowledge of Microsoft Outlook, Word, PowerPoint & Excel, MS Teams & Zoom
  • Working knowledge of social media platforms
  • Experience of working with a CRM system
  • Be comfortable multi tasking, prioritising and working under pressure and to deadlines
  • Willing to travel occasionally for conferences and training
  • Have a can-do attitude and work towards continuous improvement.

Not essential but preferable: 

  • Ability to use REAPIT
  • Knowledge of the wider UK Country geography and market
