We are seeking a skilled PA with experience in supporting both a large family and a business owner. Having in-design skills would be a bonus but is not necessary. The ideal candidate should have 3-5 years of experience, preferable. We are looking for a positive, energetic, and highly organised individual who is willing to travel and fully dedicated to their role.
- Efficiently manage the personal diaries of both Principals, ensuring priority appointments are scheduled and reallocating, as necessary.
- Coordinate meetings within the office and with existing and potential clients.
- Research and plan complex travel options and itineraries for principals and occasionally the family, including transportation, accommodation, and passport/visa requirements.
- Collaborate with the company's Travel Agent to ensure seamless travel arrangements.
- Monitor work email account, forwarding and responding to emails as required.
- Log all monthly credit card and cash expenses, CMap mileage entry receipts, and assign them to appropriate projects or DLA (Designated Living Areas).
- Handle paperwork related to personal matters that come to the office.
- Assist in the maintenance and coordination of photo shoots for Principals personal builds.
- Support Directors by revising specified new business brochures using finalized templates and project pages.
- Reconcile credit card statements and mileage records.
- Act as the main point of contact with Travel Counsellors, booking domestic flights for Tim and other colleagues.
- Assist the Studio Manager and Assistant as needed, including greeting visitors, offering refreshments, answering calls, managing inquiries, and maintaining the office's tidiness and appearance.
