Job Title: Executive PA

Contract Type: Permanent  

Location: London     

Working style: Hybrid 50% home/office based

We have a new opportunity for a highly organised and efficient Executive PA to provide comprehensive support to the Group Chief Financial Officer (GCFO) who is a Board and Group Executive member. This role is being offered on a permanent basis in our London office with occasional travel to our Edinburgh and Alderley Park sites when business needs require.

 

The Executive PA will work closely with the Group Chief Financial Officer (GCFO), Finance Business Manager and wider Group Finance leadership team, as well as other business areas across Royal London. You will collaborate with other Board and Group Executive PA’s and Business Managers to ensure the smooth running of daily operations in a fast-paced environment by providing confidential support, including organisation of schedules, inbox management and always handling confidential information with the utmost discretion.

 

The ideal candidate will have excellent organisational skills, strong attention to detail, and the ability to handle multiple tasks simultaneously while maintaining a high level of professionalism. In this role, you will be responsible for managing the executive's calendar, coordinating meetings and travel arrangements, and maintaining confidential files and records. You will also be required to prepare reports, draft correspondence, and handle any other administrative tasks as assigned. Additionally, you will need to exercise discretion and maintain confidentiality at all times.

 

About the role

 

  • Efficient and proactive diary management and organising and managing meetings (internal and external) and travel arrangements.
  • Ensure all relevant information and documentation is available and distributed in advance of meetings. Ensuring that actions/issues arising from meetings are addressed in accordance with agreed target dates and to liaise with owners accordingly.
  • Co-ordinating leadership team meetings, relevant briefings and work alongside the Finance Business Manager and aligned Communications Business Partner and leadership teams to do so.
  • Attend meetings and take accurate minutes/actions as required. 
  • Act as key point of contact to the GCFO’s senior team and stakeholders (internal and external), reading, monitoring, and responding to GCFO’s emails.
  • Take ownership of communications in the absence of the GCFO using own knowledge or referring matters to members of the management team.
  • Assist the GCFO in managing the governance and managerial process, ensuring they execute against their accountabilities and responsibilities.
  • Raising and receipting Purchase Orders and managing expenses using the P2P system.
  • Co-ordinate MI (Management Information) documentation and distribute to relevant management teams within agreed timescales as required.
  • Work closely with the Group Finance PAs to support the effective day to day running of the division.

 

Royal London’s has adopted a hybrid working pattern supporting our culture of collaboration and inclusion.  Due to the nature of this role, flexibility will be required in terms of the number of days attending the office in order to fully support the GCFO and their remit.

 

About you

 

  • Previous PA experience at Executive level is essential.
  • Experience of working within a regulated financial services environment is desirable.
  • Excellent planning and self-management skills – ability to work in high pressure situations under tight deadlines. Calm under pressure and capable of thinking on your feet.
  • Solutions-orientated with excellent communication, time management and problem-solving abilities.
  • Ability to prioritise and escalate, when necessary, in the absence of management.
  • Discrete and ability to handle highly confidential and sensitive information.
  • Gravitas to build relationships and deal effectively with senior managers/executives, both internally and externally.
  • Ability to develop extensive knowledge of the organisation and use this to deal with queries expediently.
  • Flexible – adaptable approach, willing to undertake a variety of tasks with a can-do attitude – striving to go above and beyond, treating internal/external customers fairly.
  • Excellent verbal and written communication skills.
  • Microsoft Office Suite proficiency. With the ability and desire embrace new technology such as Power BI and Copilot as they are developed.
