Job Title:  Executive PA

Contract Type:  Permanent

Location:  London

Working style: Hybrid 50% home/ office based

Closing date:  24th April 2024

Salary: £40,100 - £60,400

 

We have a new opportunity for a highly organised and efficient Executive PA to provide comprehensive administrative support to our newly appointed Group Chief Operating Officer. This role is being offered on a permanent basis in our London office with occasional travel to our Edinburgh and Alderley Park sites when business needs require.

 

The Executive PA role will involve working closely with the Chief Operating Officer and wider senior leadership team across Operations and Technology within the Group, as well as other business areas across Royal London.

 

You will collaborate with other Group Executive PA's and Business Managers to ensure the smooth running of daily operations in a fast-paced environment by providing high-level administrative assistance, management of schedules, inbox management and always handling confidential information with the utmost discretion.

  

About the role

 

  • Diary management organising and managing, meetings (internal and external) and travel arrangements.
  • Ensuring all relevant information and documentation is available and distributed in advance of meetings this could include producing documents, briefing papers, reports and presentations.
  • Act as key point of contact to the Chief Operating Officers' senior team and stakeholders (internal and external), reading, monitoring and responding to COO's emails.  
  • Raising and receipting Purchase Orders using the P2P system.
  • Co-ordinating and attending departmental leadership team meetings, relevant briefings and work alongside the aligned Communications Business Partner and leadership teams to do so.
  • Ensuring that actions/issues arising from meetings are addressed in accordance with agreed target dates and to liaise with owners accordingly,  
  • Maintaining an effective task list for the Chief Operating Officer and ensure tasks are completed to the relevant deadlines and work closely with the PA to the Senior Leadership team within Transformation in support of the effective day to day running of the Transformation function.

 

About you

 

  • Previous PA experience at Executive level is essential to be successful in this role.
  • Excellent planning and self-management skills - ability to work in high pressure situations under tight deadlines.
  • Proactive in managing and resolving problems.
  • Ability to prioritise and escalate, when necessary in the absence of management.
  • Efficient, self-motivated, and well organised.
  • Calm under pressure and capable of thinking on their feet.
  • IT literate with strong skills in Word, Excel, PowerPoint and use of content management tools.
