Job description

Position: Personal Assistant to 2 Directors (Maternity Contract until December 2024)

Salary: 40,000 per annum

Schedule: Monday to Friday, 8:00/9:00 AM - 4:30/5:30 PM (37.5hrs per week)

Location: West Malling

Immediate Start

A busy role supporting 2 Directors within this fast paced environmnet. Working closely within the day to day operations and managing inboxes and diaries with efficiency. A fun, social busy team looking for a candidate who can manage an ever changing work load and take it all in their stride!

Job Responsibilities:

  1. Diary Management: Efficiently manage the Managing Director's schedule, including organising appointments, meetings, and events.
  2. Inbox Management: Handle incoming emails, prioritise correspondence, and respond appropriately on behalf of the Managing Director.
  3. HR Support: Assist with HR-related tasks such as coordinating interviews, on boarding new employees, and managing employee records.
  4. Meeting Support: Prepare agendas, take minutes, and type up meeting notes. Ensure that all relevant documentation is distributed and filed appropriately.
  5. Event Coordination: Assist in planning and coordinating events, including booking venues, arranging catering, and managing invitations.
  6. Facilities Management: Oversee office facilities, ensuring a clean, safe, and organise work environment. Coordinate repairs and maintenance as needed.
  7. Office Management: Handle various administrative tasks to support the smooth operation of the office, including ordering supplies and managing expenses.

Qualifications and Skills:

  • Proven experience as a Personal Assistant or similar role, preferably supporting senior management.
  • Excellent organisational and time management skills, with the ability to prioritise tasks effectively.
  • Strong communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Previous experience in HR support and event coordination is desirable.
  • Knowledge of facilities management practices is a plus.
  • Immediate availability to start work is required.
