We are looking for a part time PA to join our dynamic Medical Team. Job-sharing with our current PA, you will support the Medical Team, enhancing their ability to provide vital services to the Inpatient Unit, Day Patients, Community and specialist palliative care at RUH.
PA TO MEDICAL TEAM | Band 4 £25,147 - £27,596 per annum (pro rata)
During this role, you will provide high quality PA and full administrative support to the Medical Team at Dorothy House (currently Medical Director, Consultants, Specialty Doctor, ANPs, GP trainees and StRs). Other duties will include:
- To undertake specific projects relevant to the Medical Department.
- To support with our IPU (In Patient Unit) with administrative tasks when IPU admin team are absent/require support.
- Deal with telephone and email enquiries from professionals, patients & carers. Taking messages and filtering them to the relevant people
- Ensuring our patient data system (SystmOne) is regularly and accurately updated. As well as monitoring our Medical Teams caseload.
- Supporting with administration tasks relating to patient appointments.
- Liaise with other Dorothy House services, GPs, community hospitals, acute hospitals, RUH consultants and RUH departments (particularly Oncology, Medical Records and X-ray).
- Prepare and oversee our Medial Team rota.
- Assist the Medical Team with statistics and data collection for audit purposes
- Support meetings across the directorate through preparation of addenda, providing supporting paper, or taking minutes.
- Monitor our Medical Teams mandatory training, booking attendance as required.
- Assisting the Medical Director with the management of annual leave, study leave and sick leave

HOURS OF WORK
This role is a Part Time position. You will be working 15 hours per week across 2 days (Thursday and Friday).
Based at our Winsley Hospice, we are happy to also offer hybrid working opportunities at the discretion of your manager.
ABOUT YOU
Essential requirements:
- Good standard of English and Maths
- Excellent computer skills and experience of using a database, Microsoft Word, Excel, Outlook and wider internet
- Experience in note/minute taking
- Can work proactively and able to anticipate requirements of the Medical Director and Medical Team
- Comfortable and confident networker. Able to communicate with a wide range of people both in and out the organisation.
- Able to show empathy and present a calm, courteous and compassionate manner
- Can demonstrate experience working with sensitive and confidential issues
Desirable requirements:
- Recognised qualification in Executive PA or Administration
- Experience of supporting at a Director/senior level
- Experience/knowledge in a health/social care environment
- Experience of project support
- Can commit to a flexible working approach to provide holiday cover for job-share
