Job description

Base salary of £30-35K subject to skills and experience, plus bonus and other benefits.

Full-time permanent contract, with at least 4 days out of 5 per week onsite at our Cheltenham HQ. Flexibility with working hours available- to be discussed on application.

Role Overview

We are looking for a Personal Assistant who will play a pivotal role in providing organisational support to the Operations Director and general administrative support to the wider Operations teams, ensuring smooth communication, coordination, and execution of various tasks. This role is perfect for a proactive and detail-oriented professional who can handle confidential information, manage multiple priorities, and facilitate effective interactions between the Operations function and the rest of the business.

Key Responsibilities

  • Manage the diary of the Operations Director, organising meetings, appointments, travel arrangements and events as required.
  • Work with our Internal Communications team to coordinate team briefs and communication roll-outs, including the preparation of slides and/or videos.
  • Arrange travel itineraries, accommodation, transportation, and necessary documentation for business trips on behalf of the team.
  • Perform various administrative duties, such as filing documents, preparing reports, raising purchase orders and managing office supplies.
  • Manage business expense submissions on behalf of the Operations Director
  • Respond to requests for information from our global teams
  • Coordinate monthly report submissions
  • Maintain discretion and confidentiality regarding sensitive information

We are looking for

  • At least 3 years’ experience in a PA role
  • Excellent organisation and prioritisation skills.
  • Discretion, confidentiality and integrity are key traits.
  • Proficient in the Microsoft suite of products including Word, Excel, PowerPoint. Creating impactful presentations and business communications is a key requirement of the role.
  • Good communication and interpersonal skills.
  • Excellent written English, including spelling, punctuation, and grammar.
  • Able to work on own initiative with limited supervision.
  • Prepared to work extra hours as required by the demands of the role.
