Full Time, Patient Services Manager, Leicester City Centre, paying up to £29k


Your new company
A leading public sector health organisation are looking for a skilled Patients Services Manager to start as soon as possible, based in Leicester City Centre.
Your new role

This is a dual role, split between reception and the office. The successful candidate will have an array of duties ranging from staff management through to operations including:

  • Line management of the administration/reception team encouraging productivity and personal development and personal development.
  • Ensuring that they have the appropriate training for the ongoing needs of their roles and personal development.
  • Conduct quarterly supervision's with your staff, annual appraisals and other management meetings as required e.g., return to work, in a timely manner.
  • Manage the induction process of new members of your team ensuring the process is sufficient to meet milestones of the probationary period.
  • Monitor workload of the team effectively and allocate work appropriately highlighting concerns relating to staff and/or workload and problem solve in conjunction with administration leadership team.
  • Manage the Front of House Team rota to ensure that there is always adequate cover. Adjusting your working week to ensure you can cover gaps if required.
  • Manage all leave requests of the administration/reception team, always ensuring adequate cover. As required and in conjunction with the HR Lead, participate in the recruitment and retention of staff.
  • Manage the phone system, setting of the answer phones and recording of messages
  • Ensure clinical teams are offered support and resources to enable them to carry out their clinical duties.
  • Manage Clinical Staff rota's on SystmOne ensuring rota's are completed in advance and other recording templates including the active management of annual leave requests for GP's and on call coverage ensuring the availability of essential clinical staff on site during opening hours
  • To liaise with HIS IT support department to resolve other hardware and software issues and ensure staff know how to report an IT issue.
  • Oversee the room booking system ensuring clinics are located correctly
  • Ensuring notice boards and TV messaging screens are updated as required and that practice literature is up to date
  • Ensure appointment system is being utilised correctly including management of the self-check in system.
  • Continually assess and evaluate systems (for example through audit), sharing findings with administration leadership team as appropriate
  • Induct all visiting external staff, complete induction paperwork and send to HR when complete.
  • Update policies and procedures as required.
  • Monitor patient surveys to ensure these are completed annually
  • Deal with more complex enquiries from patients Face to Face
  • Act as the first point of call for patient complaints in accordance with Complaints procedures. Ensure these are dealt with promptly
  • Maintain effective patient feedback systems and share learning
  • In the absence of the Premises Officer, coordinate a rota to ensure the building is securely locked.
  • Attend meetings, take minutes, and circulate as required.
  • Organise and participate in regular team meetings in conjunction with the Administration Services Lead.

What you'll need to succeed
The successful candidate will have the following:
  • It is desirable to have a full understanding of SystmOne
  • At least 1 years prior experience as a line manager
  • Have a clear understanding of telephone systems, daytime and out of hours procedures.
  • Have a working knowledge of the role of the Administration/Reception Services Lead in order that cover can be provided during periods of absence.
