Job Title: Programmes Assistant - (UK)
Contract - Permanent: (Full Time): 9.00 am - 5.30 pm. The role may include after-work hours upon request with time off in lieu available [site visits, events, conferences, etc.]
Location: London - Office-based working three days per week onsite with some hybrid working arrangements.
Reporting to: Regional Head (UK)
Salary: £30,000 - £35,000
Summary of Role
The Programme’s Assistant will report to the Regional Head (UK). The role's primary focus is to support the Regional Head in managing Choose Love’s UK charitable partnerships and provide proactive and flexible administrative support to the Programmes team and relevant departments upon request.
We are looking for an energetic and passionate individual with lived experience to join Choose Love who has a strong understanding of the challenges faced by displaced people and a commitment to providing highly effective administration support. They will work to ensure smooth and efficient grant-making to maximise support to our partners in their vital work and services.
Role Responsibilities
Grant Administration:
Work closely with partners and our compliance team to track documentation needed for granting to partner organisations.
Support development and maintain grants tracker tool to track grant start and end dates, reporting deadlines, etc.
Draft Memorandum of Understandings between Choose Love and partner organisations.
Gather and support review of paperwork from Choose Love Partners for due diligence and compliance.
Administrative Support:
Manage Google Calendar, schedule Zoom meetings and take minutes upon request
Liaise with partners and organise site visits across the UK
Work with the Office Manager to organise and coordinate ad-hoc donation distributions to UK Partners
Conduct media monitoring of partners' work and share content with the communications team
Support with organising events, liaising with UK partners for their attendance etc.
Relationship Management:
Support the Regional Head in ongoing relationship management of new and existing partners
Participate in partner calls and track critical takeaways and action items to share internally
Respond to ad hoc needs arising from partners – including clarification/support on the application process and support with reporting.
Support the Partnerships department in any ad-hoc event or pop-ups, which may include selling merchandise and networking at events.
Essential Criteria:
Lived experience of displacement and has the right to work in the UK; a strong understanding of the challenges faced by displaced people and the humanitarian sector.
Passionate, diligent and proactive with excellent communication and relationship management skills
Based in the UK and is able to come into the London office at least three days a week, as well as be available for events and site visits across the country
Fluent in English speaking both written and verbal
A minimum of 2 years experience working in a similar function or an administration or communications role
Confident digital skills in Google & Microsoft, including Google Drive, Calendar and Excel
Desirable Criteria:
Experience representing an organisation and its interests to a diverse range of stakeholders
Ability to work effectively with diverse teams and stakeholders in cross-cultural contexts
Experience working with marginalised groups and in community outreach projects
Experience in monitoring, learning and evaluation of impact and data
