About the Portering Supervisor role
The post will form part of a team of Portering Services Supervisors, supervising General Portering and Security Services at the West Suffolk NHS Foundation Trust.
The main responsibilities consist of supervising a team of Porters and Security members, assuring that a quality service is provided.
The Portering Supervisor liaise with other teams, helping with whatever way possible with the aim to provide the best possible care to the patient
The Portering Supervisor will supervise a team of General Porters and Security members.
Responding to the Hospital needs, he will coordinate the requests with the available resources, in order to provide the best possible service.
Applicants must have good customer service and communication skills, both in relation to colleagues and other teams’ members.
The candidate should have leadership qualities and resistance to pressure.

Job summary:
The post will form part of a team of Portering Services Supervisors, supervising general Portering and Security Services at the West Suffolk NHS Foundation Trust.
Under the general supervision of the Portering Manager and Assistant Manager, the Portering Services Supervisor will be responsible for the allocation, control and supervision of staff deployed on their shift. The post holder will ensure work schedules relating to the tasks required are carried out. They will receive requests for work and allocate Porters to carry out those tasks, ensuring the work is promptly and efficiently completed. The post holder will ensure that all relevant administration for sickness absence, staff pay, appraisals, incidents etc. is completed and returned as per Trust policies.
The post holder will ensure appropriate steps are taken to create a pro-security culture, so staff and patients accept responsibility for this issue and ensure that where security incidents or breaches occur, they are detected and reported as per Trust policy. Additionally, the post holder will ensure all Trust policies, procedures and protocols are adhered to.
Skills:
Interpersonal skills i.e., making good contact with people and establishing effective working relationships with all the team members, wards, and departments.
Able to work under pressure, with the ability to take charge of emergency situations and keep the Services running even under constrains.
Key Tasks & Responsibilities:
PLANNING AND ORGANISING
Assisting in the preparation and maintenance of work schedules
Supervision and control of Portering and Security staff, including maintenance of proper standard of conduct and work implementations of grievance and disciplinary procedures, reporting accidents and untoward incidents appropriately and ensuring satisfactory working conditions.
Attend and coordinate fire and other emergencies at the premisses, managing the Portering and Security teams to assist.
When required, assisting in the compilation of staff rosters, and updating these on a day-to-day basis as appropriate, taking into consideration any staff absences. This task will be carried out in line with agreed staffing patterns and budgetary constraints; any permanent changes to the roster or individual’s hours will only be made with the Manager/Assistant Manager’s approval.
The completion of documents relating to pay, sickness absence, other absences and record keeping.
The completion of documents relating to untoward incidents; inclusive of Datix reports.
Responsible for implementing the Portering response to MAJAX, CBRN, missing patients and all other emergency procedures and protocols.
Responsible for the implementation of the Helicopter landing procedure
To notify the Help Desk or On Call Engineer of any breakdowns or damage to equipment etc. and/or liaising with the Site Manager as applicable.
To re set pod chute system when required plus collection and delivery to Pathology of bloods and specimens when the system fails.
To provide out of hours assistance to the Estates department and carrying out minor repairs.
To provide out of hours selection recording and delivery of EBME medical equipment.
To order and supervise the delivery of medical gas cylinders. To check and report faults in associated equipment for the supply of cylinders throughout the Hospital and local health premises. The provision of information required for the preparation of recharges and invoicing checking.
The movement of furniture and equipment as required.
Responsible for the efficient safe disposal of clinical and general waste within the Trust.
The general collection and delivery of services to wards and departments.
To transfer patients to and from wards and departments.
Out of hour’s delivery of stores, laundry, and mattresses to wards.
To ensure all tugs are put onto charge at the end of the working day.
To operate the ECARE system out of hours and during emergency situations.
To participate in and assist with the provision of on-the-job training.
To be responsible for day-to-day personal issues relating to the Portering and Security teams, including absence monitoring, discipline and grievance, appraisals/personal development plans in accordance with Trust policies and procedures.
To monitor the work of the General Porters and Security team members, ensuring that service provision is suitable for users.
To transport deceased patients to the mortuary and comply with corresponding administration arrangements.
The receipt of bodies into the mortuary.
The removal of bodies from storage in preparation for viewing.
Liaising with all areas of the Hospital requiring service from the Portering department including wards, department, and individual service managers.
Liaising with outside organisations such as the police force, ambulance service etc. on a regular basis to discuss all aspects of Trust security and make recommendations to Clinical Management.
The completion and monitoring of paperwork issued and returned, e.g., return to work forms, self-certificate forms, gas manifold check list etc.
SECURITY
To be responsible for regular security checks including but not limited to:
Checking doors and windows are locked (as directed) and that lights and water taps are switched off.
Investigating reports of intruders and where necessary escorting members of the public from the Hospital.
Attending incidents of violence and aggression. To ensure staff, patients and the public are removed from the area and not exposed to any harm. To ensure Senior Medical Staff have followed correct procedures, i.e., contacted the police, isolated the incident, and preserved potential evidence.
Escorting patients and staff at night as required.
Checking entrances/exits to all residents to ensure they are secure.
Ensuring the gates to the engineer’s compound are secure.
Checking all external doors, including shutters to the laundry bay, rear of kitchens, manifold room, bulk oxygen tanks and VIE monitor dial status.
Checking all buildings associated with the Main Hospital, e.g., Day Surgery, Treatment Centre, Facilities, Accommodation, and the Dialysis department.
To be responsible for the CCTV system, i.e., police liaison regarding recorded evidence.
To ensure security incidents are reported in a simple and concise manner allowing for investigations to take place.
To participate in security risk assessments and assist in the implementation of preventative measures.
To investigate security incidents out of hours and submit all collated data to the Trust Security Manager
To respond to and organise Restrictive Physical Intervention (RPI) team call outs. To lead and participate in activations, carrying out team debriefs and completing debrief documentation.
To oversee and participate in the delivery and collection of bloods etc. for transfusions.
