Practice Assistant

Department: Legal Support Services

Role Overview: As the single point of contact for fee earners, the Practice Assistant ensures the completion of all tasks, managing workflow through Team Assistants and Shared Services as needed. This role is crucial for providing high-quality, comprehensive workflow management, organizational support to fee earners, and exceptional client service.

Key Responsibilities:

  • Client Relationship Management: Actively care for clients, manage document production, handle client-related calls, support client meetings and training, and maintain client and business development information in Interaction.
  • Administrative Support: Open and close files, supervise filing and record-keeping, support business development activities, assist with event organization, manage diaries, produce Excel spreadsheets, and handle miscellaneous office tasks.
  • Communication: Serve as a key contact for fee earners and clients, monitor and respond to post and emails, support colleagues, answer phone calls, take minutes, and manage planned absences.
  • Financial Management: Assist with client billing and credit control, handle complex billing tasks, request financial transactions, update time allocations, support WIP certification, and manage expenses.
  • Processing: Manage priorities and workloads, maintain client data rooms, promote data room use, ensure client and matter data accuracy, handle online applications and searches, and ensure compliance with firm policies and procedures.
  • Customer Service: Arrange and attend team meetings, liaise with fee earners and PSMs, and provide consistent updates to service users.

Technical Skills Required:

  • Experience in a legal or professional services environment
  • Advanced knowledge of Microsoft Office
  • Proficiency in producing high-standard documents and client communications
  • Advanced knowledge of document management and case management systems
