About the Role

This is an exciting opportunity for a Publishing Data Administrator (also called Process Support Lead) to play a key role providing timely and effective system and Process Support to our publishing teams to enable successful publishing.

You will take an active role in driving operational excellence in all aspects of the Portfolio Support Team’s activities through this valued support.

Reporting into the Product Programme Manager – Primary Literacy, you will have the following responsibilities:

  • Provide the publishing teams with a practical support and advisory service for specific processes, as directed by your manager, in a timely and efficient manner and in a way that adheres to OUP policies - to enable us to meet project schedules.
  • Provide data entry support to ensure our publishing data management system (Biblio) is kept up to date and that accurate information is available for our products and our customers. As part of this, support publishing colleagues to provide accurate data, investigate and resolve data irregularities and errors, and offer system expertise.
  • Monitor data accuracy to ensure data integrity is maintained in line with business and legislative standards.
  • Ensure all support request activities are tracked and that clear communication is provided to all internal and external interfaces to ensure completion targets and service levels are met or exceeded.
  • Develop and maintain a strong grasp of all relevant publishing operations systems and processes.
  • Support the Portfolio Analyst with their role as directed, e.g. gathering data on tasks, organizing training sessions.
  • Provide operational support on other Portfolio Support projects, as directed by the Product Programme Manager – Primary Literacy, according to business needs.

We operate a hybrid working policy that requires a minimum of 2 days per week in the Oxford office.

The successful candidate will demonstrate the following skills and experiences:

  • Strong grasp of Microsoft Office Suite – including Excel, Word.
  • Excellent interpersonal and communication skills – this is a service-focused role requiring frequent interaction with multiple people at multiple levels.
  • Excellent organization, time and project management skills.
  • Solid administrative skillset and experience.
  • Experience of working in a service-orientated team ideally providing support services that enable smooth workflow and efficiency with high energy, high pace and a passion for operational excellence.
  • Experience of working with systems and processes and supporting others to use these.
  • Experience of handling data with close attention to detail.
  • Experience of proactively and diplomatically questioning information provided to ensure accuracy, and independently and creatively seeking solutions to systems and process issues where required.
  • Ability to be flexible, to learn and adapt to change – updating knowledge as required.
