Department: Cuffe and Taylor Operations

Location: Preston, Lancashire or Farringdon, London and on site at festivals.

Reports to: Senior Event Manager

Working Hours: Full time working hours plus some evening / weekend working at events

Contract type: Fixed term contract until Sept 2024

Role Description

The focus of the role will be to provide administration support to the operations and production team for the summer festivals and indoor shows. The aim of the role includes production equipment procurement, staffing schedules including local crew and riggers.

Cuffe & Taylor operates Lytham Festival, Live at The Piece Hall , Scarborough Open Air Theatre, Summer Sessions, Cardiff Castle, Lincoln Castle and many other sites. Cuffe & Taylor also Produce and Promoter over 1,500 theatrical shows across the UK and Internationally each year and project manage a major London attraction.

Who you are

Competencies / Skills / Knowledge / Experience

  • Excellent attention to detail
  • Advanced knowledge and experience with Microsoft Excel and Outlook.
  • Highly motivated and dynamic - ability to work deadlines and achieve targets in a time conscious manner
  • Experience in working in a busy working environment
  • Experience in the events industry is helpful.
  • Excellent communication skills.
  • Ability to prioritise and met deadlines.
  • Analytical skills.

What the role includes

  • Regular liaison and progress reports to the operations team and operations director.
  • Assisting with production advances
  • Ensuring all riders are collated and actioned.
  • Assisting with budget preparation and updating on an ongoing basis as delegated
  • Creating cost comparisons and reviewing specs and quotes
  • Negotiating and agreeing best prices and rates
  • Creating show and production schedules, ensuring they are up to date throughout the planning and delivery process.
  • Creating local crew and rigging schedules
  • Producing day sheets
  • Collating all contractors' documents
  • Communicating all production requirements to the relevant departments
  • Keeping hotel bookings up to date
  • Collating catering requirements and
  • Ensuring all documents are filed correctly.
  • Organising the set up and delivery of all kit to the production, operations and promoter office
  • Reconciliation of missing equipment, damaged vehicles, and post show reports.
  • Work on site at events and festivals as required, including weekends and evenings.
  • Organising and collecting all production and contractor debriefs.
  • Any other reasonable ad hoc duties.
