Creative Playground is an arts project for local people in Crawley, funded by Arts Council England as part of the Creative People & Places programme. It aims to engage more local people in arts and culture, led by Manor Royal Business Improvement District and a consortium of local organisations: Crawley LGBTQU+, TheHawth ,Caridon Housing Trust and Crawley Community Action.

Creative Playground puts residents at the heart of decision making. The Role

The Production Assistant will work on the Creative Playground project with the team to effectively plan and deliver the 2024 programme. The specific Creative Playground projects they will work on are:

● Around The Lake Festival-13-17July2024 (a 2 day weekend outdoor arts and performance festival with installation on the lake running until Wed17July)

● Saturday Sessions-June-November2024 (monthly drop-in sessions to see performances and take part in creative workshops

Role:Production Assistant, Creative Crawley Accountable to: Project Co-Directors Responsible to: Head of Learning &Production/ Community Producer

Employer: Creative Crawley (Managing Agent for Creative Playground)

Salary: £25,000(pro-rata)

Contract: Part time, 2 days per week (14hours),PAYE or Freelance, fixed term

In the close lead up to a project, these hours will become more concentrated (e.g.5 days in the lead up to the festival)

Contract Start Date: 10 June 2024(or as close to)

Contract End Date: November2024 (subject to satisfactory a 3 month review)

Notice Period: 1 month Annual Leave: 28dayspro-rata

There will be times you are unable to take holiday due to delivery dates in the programme and these will be confirmed when starting the role.

Place of Work: Remote and in person at various locations across Crawley, West Sussex.

Office Location: Crawley College, College Road, Crawley, RH101NR Our office is accessible via step-free access. Due to the needs of the project, we may require you to work flexibly which would include evenings and weekends. We are unable to pay overtime but time off in-lieu will be offered for any additional hours worked.

Key Responsibilities

General

● To support the Head of Production and Community Producer in the production and delivery of the Around The Lake Festival and Saturday Sessions.

● To attend the set up period, public programme and get out of the Around The Lake Festival providing production/logistical/stewarding support as required.

● To attend Saturday Sessions as on the ground to support with setting up spaces, packing down spaces and being on hand to ensure the smooth running of the sessions.

● To contribute to marketing and audience development strategies.

 ● To contribute to the evaluation of the programme.

 Administrative

 ● To liaise with visiting artists/companies on logistics of their visit e.g. accommodation and transportation information, timings etc.

 ● To book rooms and spaces for workshops and events, updating necessary spreadsheets with information.

● To communicate with visiting artists/companies and event attendees via email and phone about logistics such as rehearsal times and show call times.

● To collate access, production, marketing and any other information relating to visiting artists/companies, workshop attendees and audiences.

● To book transportation and accommodation, in collaboration with the Community Producer and Head of Learning & Production.

Production

 ● To be familiar with the technical requirements of each performance/event in the programme and support as required.

 ● To research information needed for risk assessments, access measures, general tasks for events as required.

 ● To order and purchase materials and equipment, as communicated by the team.

● To deliver supplies to various sites.

 ● To create Call Sheets for visiting companies/artists, as and when required.

 ● To assist the Production Manager and/or Head of Learning & Production in keeping to and carrying out the production schedule(s) so that the event(s) run smoothly.

● To help with set up and pack down of spaces (festival sites, workshop rooms, performance areas etc)

● To ensure that the sites are clean, well-presented and safe from any trip, slip or other safety hazards.

● To support the crew to ensure any on-site branding and signage is in place and displayed correctly (e.g. Feather Flags at Around The Lake Festival) General

● To work collaboratively with artists and partners to encourage the sharing of resources, minimising transport and the impact on the environment.

● To adhere to Creative Crawley’s policies at all times, ensuring the safety of artists, crew and audience in relation to the programme.

● To be responsive to the needs of each project and event and any other duties required.

Essential

 ● Beaged18+

● Full driving licence and access to a car

 ● Evidence of professional work experience in administration and/or production

 ● Excellent communication skills, good organisational skills and strong attention to detail

 ● Experience of multi-tasking, ability to work under pressure and stamina

● High proficiency in using Google Drive and Microsoft Office

 ● Ability to prioritise and work to deadlines

● Sense of humour and desire to work as part of a busy team

● Appetite for meeting new people and engaging with wide range of people

● Keen to work in outdoor and unusual settings

 

Desirable

 ● Understanding of the arts landscape, particularly in relation to community engagement, outdoor festivals and events

 ● Experience and/or interest in Producing and Production

 ● Knowledge of Crawley and local networks

● Experience following risk assessments and health and safety guidance
