Formed in 2015, Reed Wellbeing has expanded rapidly, developing and delivering evidence-based lifestyle and wellbeing programmes that help people improve their health. Guided by psychologists, dietitians, physical activity experts and other specialists our local teams support people to make sustainable, positive behavioural changes using engaging and interactive interventions that address individuals’ needs. We deliver our services in the heart of communities, working with local public, private and voluntary partners.

We currently provide a range of adult health and wellbeing services in over 20 local authorities. Services include: weight management, physical activity (including GP referral), smoking cessation, intensive personal support, healthy eating and drinking, health checks and other healthy lifestyle promotion, outreach, support and training services – either directly or through trusted partners.

What is the role about?

Programme Support Resource Administrators are critical to the successful co-ordination of Reed Wellbeing’s world class, evidence-based health and wellbeing behaviour lifestyle interventions. They are responsible for ensuring the smooth running of Reed Wellbeing’s health programmes across a specified region to agreed quality standards, by co-ordinating the deployment of Health & Wellbeing Coaches to various venues and programmes whilst adhering to our core values by working closely with the area managers. In addition, they are responsible for assess the eligibility and suitability of participant referrals to our services and assisting in triaging when acceptable.

Just some of your day-to-day responsibilities will include

Co-ordination of Health & Wellbeing Coaches and of Venues

  • Liaising with up to twenty Health & Wellbeing Coaches at any one time to take note of their availability and assign them to the delivery of a specified wellbeing programme.
  • Communicating with Health & Wellbeing Coaches throughout programme delivery to ensure system updates for cover, annual leave and bank holidays are recorded on systems and in communication.
  • Taking into consideration the amount of participant referrals within specified areas that require Face to Face delivery when safe to do so and subsequently finding, sourcing and assessing viability of numerous venues at any one time. This will include possible price negotiation, order approval processes etc.

Attention to Detail and Data Capture

  • Accurately capturing all required participant, programme data and service data and maintaining excellent database integrity, across multiple databases at all times.
  • Updating daily records on call activity, outcomes and any other performance metrics as specified by your Line Manager. Evidencing the achievement of daily, weekly and monthly performance and productivity targets across the Reed Wellbeing services.
  • Ensuring information provided is accurate and relevant systems are promptly updated with the corresponding data and eligibility status, ensuring data accuracy and integrity.
  • MI and Commissioner Reports will identify any inaccuracies that have been inputted on the CRM system; the Resource administrator will from time to time be expected to rectify these appropriately in a data cleanse activity.
  • Reviewing in the region of up to 60 participant referrals a day and determining their eligibility and suitability in accordance to the contract(s) obligations.

Office Support Administration and Communication

  • Database and spreadsheet management to ensure all Health & Wellbeing Coach availability and commitments are documented within an operational planner and correlate to required venues and programmes - using Excel spreadsheets.
  • The use of email, telephone, and face to face communications with Health & Wellbeing Coaches and venue representatives.
  • Managing the secure NHS inbox and being responsible for delegating incoming queries and requests, responding to participant referrals within a reasonable time frame and maintaining an efficient electronic filing system.
  • Communicating with external stakeholders (where required) in writing in a professional and appropriate manner, always ensuring professional presentation. Specifically responding to GP participant referrals in order to confirm receipt and query any referrals where necessary.
  • Presenting information to internal and external stakeholders in an accessible format, always maintaining a high quality of presentation.
  • When deemed necessary will support the Programme Support Advisers with participant contact via telephone

Quality and Continuous Improvement

  • Constant review and improvement of current operational systems and databases, feeding back ideas to your line manager, in the first instance.
  • Sharing best practice with other Co-Members relating to performance optimisation across the business.
  • Promoting a high quality, accuracy, and right first-time ethos within the team at all times.

To be successful in this role, we are looking for someone with

Required Education Attainments

  • Minimum of 5 GCSE’s (grade A – C, including English & Maths) or equivalent.

Required Knowledge & Skills Attainments

  • Experience of working effectively within an office based team and liaising with multiple components of the business.
  • Demonstrable experience of delivering high quality performance regarding all responsibilities.
  • Experience of working in a fast past, target orientated environment.
  • Experience of using database systems to input data accurately in order achieve high standards and meet NHS requirements.
  • Experience of administrating and/or co-ordinating a number of events and/or programmes at any one time.
  • Experience of using database systems to input data accurately in order to track the progress of participants and potential participants.

Essential Criteria

  • Highly organised with an ability to work to set targets.
  • High levels of attentive to detail, ensuring all relevant data is captured accurately.
  • Demonstrable time management and personal organisation skills with the capacity to communicate effectively at required levels.
  • Capable of maintaining accurate and up to date records in paper and electronic systems to a high standard. Ability to follow processes (ensuring that referral eligibility for relevant service is assessed promptly and accurately and that required information is provided to the participant).

Desirable Criteria

  • Demonstrated capability to work with MS Office packages and basic databases.
  • Customer service experience; maintaining high levels of professionalism and credibility throughout all communication being written or verbal with both internal and external stakeholders.
  • Demonstrable experience of working in a faced paced environment.
