The Role
We are seeking a Project Administrator to provide a comprehensive administrative service for the Driving the Electric Revolution Industrialisation Centre North East (DER-IC NE). You will work with a small but expanding multi-disciplinary team based in our off-campus facility in Washington, Sunderland (SR5 3HE) and be part of a wider team who are collectively working on the development, assembly, manufacture and test of electrical machines and power electronics – technologies that underpin the world shift towards ‘Zero Carbon’.

The role is part time for 18.5 hours per week and the working days and hours can be negotiated with the line manager at interview. We can also offer blended working of some on site work and some home based.
We are keen to hear from people who can bring experience of working with diverse stakeholders to deliver an excellent administration support service. To succeed in this role, you will be a great team player with good attention to detail.

Key Accountabilities
  • Responsible for coordinating and supporting designated project meetings, and working groups, including arranging meetings ; coordinating papers, drafting agendas; and taking minutes; maintaining and proactively managing actions etc
  • Provide administrative support to the Project Lead(s) and project team(s) as required, including (but not exclusively) in relation to diary management, travel arrangements (which may be complex), booking accommodation, collating information and drafting correspondence which may be incorporated in reports, letters, proposals or presentations etc
  • Provide administrative support for procurement of consumables, equipment and services in accordance with university procedures
  • Lead the administration of designated processes on the project, including receiving initial enquiries/requests/applications; application of agreed operating procedures (escalating as appropriate) and monitoring progress.
  • Taking responsibility for determining the appropriate mode of communication and accuracy of the content when conveying information
  • Update project plans, and score cards on behalf of the project manager/sponsor, and support marketing and communications activities, updating website and social media content etc
  • Proactively receive, resolve and respond to enquiries received into the project, to ensure that an effective service and clear advice is provided to colleagues and customers. Working closely with other members of the project team in the School, Faculty and across the University
  • Develop, implement and maintain effective project procedures and systems to ensure that support is efficient, timely and accurate
  • Manage records relating to the functions of the project, to include taking responsibility for maintaining database(s) of information; gathering data from multiple sources, extracting reports on data as required and ensuring the integrity of data entered / recorded
The Person
Knowledge, Skills, and Experience
  • Extensive experience setting up and coordinating meetings, producing agendas, minutes and following up actions
  • Experience of working with a diverse range of internal and external stakeholders
  • Proven track record in working in line with policies and procedures
  • Good numeracy and I.T. skills including good working knowledge of standard software packages
  • Good written and oral communication skills
  • Ability to proactively deal with problems
  • Experience of prioritising workload and handling conflicting priorities
  • Experience of working an ISO9001 quality management environment is preferrable
Qualifications
  • GCSE in English Language and Mathematics (or equivalent) and demonstrable professional experien ce
