Hybrid- Hybrid working within this role enables a balance of 50 per cent of time split between the office and home over a 4-week period. Hybrid working arrangements can evolve subject to business requirements.

Job Overview

The Project Controls Support will provide Project Controls Support to the Project & Programme Controls Manager and Project Controls Analyst within Technology and Data (T&D), assisting in the successful delivery of T&D product changes as required, on time, to budget and to the highest possible quality standards.

The post holder is responsible for contributing to the management of the agreed project budget, resources and programme. The post holder will ensure that project procedures are adhered to through monitoring and action.

Key Accountabilities

  • Providing Project Controls Support to the Project & Programme Controls Manager, Project Controls Analyst and programme management team to ensure the delivery of projects to time, budget, and the required standards of quality and with the realisation of their intended business benefits.
  • Managing and maintaining all Project & Programme controls template documents and procedures and providing guidance for their use
  • Providing project planning, project reporting, financial management, support and administration services under the supervision of the Project & Programme Controls Manager or Project Controls Analyst including project, Gateway, and Project Board reports, action lists and minutes as appropriate
  • Co-ordinating project monitoring and reporting processes for T&D products as assigned by the Project & Programme Controls Manager or Project Controls Analyst and ensuring that all internal and external stakeholders are receiving the project information they require and that this is timely and of a high quality.
  • Managing risk and issue logs for assigned projects and programmes and undertaking project analysis such as identifying risk, issues and gaps
  • Developing and maintaining summary or overview project plans including analysis of resource requirements, dependencies and progress as required.
  • Preparation of summary financial and status reports to support project governance
  • Deputising for the Project Controls Analyst when required

Knowledge

  • Recognised project management methodologies (such as PRINCE) and their practical application to complex technology and data products.
  • TfL’s governance structure relating to project authorisation, change management and decision making (or commensurate experience of a similarly scaled and complex operational business)
  • Risk and issue assessment, planning and financial controls
  • Working knowledge and understanding of commercial and contractual issues
  • Good knowledge and understanding of project reporting cycles in large scale organisations

Skills

  • Proven ability to multi task and manage conflicting priorities, used to working under pressure and to deadlines
  • Excellent IT skills with good working knowledge of standard Windows tools, Sharepoint, MS Project and/or Primavera
  • Proven ability to build strong working relationships with colleagues and external stakeholders
  • Proven ability to analyse complex data (quantitative and qualitative), draw conclusions, and produce solutions and decisions
  • Proven ability to communicate effectively, both orally and in writing, with people at all levels across the organisation.
  • An eye for detail; a "completer-finisher", adaptable self starter
  • Proven organisational skills with the ability to work flexibly and provide general administration skills

Experience

  • Proven experience of coordinating and implementing project monitoring and reporting processes and ensuring compliance with these.
  • Proven experience of providing project support services including project planning, project reporting, financial management and administration services
