Job description

We are looking for a Property and Facilities Assistant with experience in commercial property. The successful candidate will need to be hands on and prepared to assist and work across all disciplines. This is primarily an office-based position, but some flexibility can be built in to accommodate home working.

You will aid in the successful running of a medium sized Property Portfolio consisting of 10 mixed commercial buildings encompassing 33 tenants. You will be working with all members of the Property Team to manage the portfolio and its tenants maintaining and improving asset value. You will also be part of the review process to ensure compliance with companies group policies and industry standards.

What you can expect:

  • Circa £30,000 per annum plus bonus
  • Monday - Friday, primarily office based with the flexibility to work from home on occasion, following the completion of a training period
  • Own transport will be essential to attend sites and the main office rural Tenbury Wells location

What you will be doing:

  • Assist the property team with a view to maintaining and improving asset value
  • Daily liaising with tenants, attending tenant meetings and dealing with any calls and issues
  • Ensuring timely rent and service charge collection
  • Ensuring all properties and tenants are compliant with legal and statutory regulations
  • Dealing with contract renewals to ensure competitive pricing achieved for service charge
  • Ensuring the maintenance of an accurate and up to date property data base enabling the storage and retrieval of documents, records, legal papers, and H&S certification
  • Regular review of compliance files, Riskwise and calendars to ensure all are up to date
  • Assist in the undertaking of regular property inspections and audits
  • Dealing with tenants’ licence applications
  • Assist with the setup and review of policies required for the management process
  • Assist with the service charge process in CRM and company policies
  • Assisting with service charge budgets
  • Assist in organising the structure needed to ensure compliance with RICS practise statements and guidance

What we are looking for:

  • Property management experience, specifically commercial property
  • Strong focus on safety ethos and ability to keep up to date with legislation changes
  • Good IT skills and be conversant with Excel, and ideally Xero and the Yardi Breeze property management Platform
  • Must be highly organised with the ability to work autonomously
  • Have strong verbal and numerical abilities, well presented with excellent communication skills
  • Excellent time management and general organisational skills with the ability to work under pressure
