We have a great opportunity for Senior Property Assistant to join this leading South West London Property company, who own several commercial and residential properties in the area, along with a private estate in Surrey and Scotland. Working in this small and friendly company you will proactively support the Senior Property Manager, and assist the PA to Property Director (PA to PD) to coordinate the ‘Assistant Resource Pool’ to cultivate a robust and agile support provision to all managers and areas within the property team
Responsible for providing effective support to the Senior Property Manager, and wider team when required, including but not limited to diary management, travel arrangements, data management, process administration, meeting administration (agendas and minutes), and meeting room set-up etc. Provide administration support to the Property Director, Managing Director, Finance Director and owner in the absence of their PA provision, or as required in busy periods. Responsible for managing key and access card processes, and assisting with arrears collections. Support the PA to PD with: coordinating and ensuring all Assistants (4) are trained and knowledgeable in all areas of Property, reception and office management to provide support and absence cover across the department when needed. ensuring reception is manned, and the office is kept clean, presentable and fully stocked at all times, with support from the other Assistants. carrying out weekly H&S and presentation checks, and reporting any concerns promptly to the facilities team – driving progress to resolution. carrying out employee risk assessments i.e. DSE and expectants mothers. working with the PM and FM team, and external H&S advisors to roll out required H&S training to all employees and contractors, and updating the online H&S platform to demonstrate compliance. delivering monthly company lunches, and quarterly socials, with assistance from the other Assistants, and wider team volunteers. Act as an ambassador of the Estate: and have a strong relationship with customers and other key stakeholders on the Estate; being aware of the Estates general appearance, noting any issues particularly health and safety concerns and feeding them back to the relevant department, monitor progress etc.
The person;
You will be a true team player, with an adaptable and hands on approach, You will have at least two years’ experience, supporting property management, preferably at senior level. Strong practical knowledge of property management administration including service charges, section 20, licence to alter, and a good technical knowledge and understanding of leases. Along with strong MS Office skills and good all round administration experience.
Hours Monday – Friday 9-5.30pm
