Overview:
First Military Recruitment are currently seeking a Property Manager on behalf of one of our clients.
The successful candidate will be responsible for delivering a high level of customer service, a wide range of property management functions across a range of duties, effectively managing an allocated portfolio of buildings, providing efficient customer service and proactive day to day property management.
The key requirements for this post are a proactive and organised individual who will be able to carry out tasks through to a successful conclusion. Where necessary, training will be provided. The successful candidate will be organised, efficient, able to work quickly and accurately under pressure whilst always maintaining excellent client care.
Working hours will be 9.00 am to 5.00pm Monday to Friday with one hour for lunch. Due to the nature of the role, you may be required to work out of office hours.
Duties and Responsibilities:
- Ensure that company policies and procedures are consistently applied to required standards.
- Arrange day to day maintenance of allocated properties.
- Attend client meetings, including AGM’s.
- Arrange day to day, contracted and cyclical maintenance.
- Assist with the project management of major internal and external works along with the relevant surveyor or relevant professional consultant.
- Liaise with local councils and government bodies and police to adhere to relevant regulations.
- Manage hard and soft copy data and e-mails and ensure all client files are updated.
- Deal with queries verbally and in written form.
- Issue and ensure collection of relevant fees and Common charges.
- Manage effectively relevant budget process, year/end accounts half yearly and quarterly client statement process to ensure that timescales are met and review accounting information to ensure accuracy.
- Manage the portfolio arrears levels and instruct credit control procedures taking steps to meet agreed targets and understanding reasons for variations.
- Manage expenditure against budget throughout the financial year and produce reports as required for senior management.
- Carry out regular site visits to ensure all buildings are in good order.
- Ensure insurance claims are being processed efficiently and correctly (in conjunction with the appropriate member of staff).
- Circulate information to residents concerning management issues. Ensure that fees are issued as and when appropriate for works excluded from the management contract – Building surveying.
- Review and agree all circular & client correspondence including newsletters ensuring that communication is regular and accurate.
- Ensure Health & Safety regulations and appropriate safety checks are adhered to and that General and Fire risk assessment recommendations are implemented across the team.
- Have and continually update legal knowledge and understanding of relevant legislation.
Skills and Qualifications:
- You should have at least two years’ experience at residential block Property Manager level and managed a dedicated portfolio of developments.
- Knowledge of relevant legislation including Property Factors Scotland Act 2011, Property Factors (Code of Conduct),(Scotland) order 2012 , Property Factors (Registration)
- (Scotland) regulations 2012.
- Following procedures and best practice on disseminating residential block property management advice.
- Experience in interpreting, advising and implementing such company procedures in a consistent manner.
- The verbal communication skills to communicate with a diverse client group and internal staff.
- The written communication and numerical skills to produce succinct correspondence and reports.
- The ability to research, analyse and reason logically and effectively within tight and conflicting timeframes.
- Excellent IT skills including Word and Excel skills.
- A commitment to providing customer service.
- To carry out any other reasonable tasks as may be directed by the Directors and Partners to meet the needs of business.
- Ensure an efficient service is delivered in a timely manner whilst understanding business objectives and priorities. Prioritise work to ensure the best outcome for outside customer, agencies as well as internal departments.
- Make responsible decisions on behalf of the company and in doing so ensure that the best process is in place in order to achieve the best possible outcome.
- Be proactive in finding alternative methods of solving problems including cost effective methods. Exercise discretion and apply professional judgment at all times.
- Organise efficiently and effectively own workload to ensure all work is delivered within written statement of services.
- Use initiative and solve problems when deemed necessary for the purpose of ensuring the best possible outcome.
