Receptionist/Administrator for Cambridge Office

About the role
We have an exciting opportunity for an enthusiastic and confident Receptionist/ Administrator based at our Cambridge Office, working 35 hours per week, Monday to Friday 9am to 5pm.
This candidate must have excellent interpersonal, communication and team skills with the ability to manage their own workload proactively and effectively and liaise and influence staff on all levels of the business.
The candidate should be forward thinking, with an eye for detail, professional, consistent, and confidential always.
Key Tasks include, but not limited to
• Answering calls from Clients and relevant parties and fielding them accordingly, taking messages where required and forwarding these on in a timely manner
• Taking client account payments over the phone/chasing outstanding payments
• Maintaining calendars accurately and updating information for appointments
• Sort and distribute incoming mail in a timely manner
• Sort any outgoing mail
• Photocopying/Scanning
• Maintain reception area/meeting rooms ensuring they are tidy at all times
• Meeting and greeting visitors to the office in a warm and friendly manner and addressing their questions and needs
• Naming documents correctly and filing on to Case Management system as and when required
• Closing files and archiving as and when required in a timely manner
• Advising Facilities Manager when resources run low/keeping an eye on stock levels
• Other relevant administrative duties deemed appropriate as and when required
• Adhering to GDPR guidelines and maintaining client confidentiality on a day to day basis
• Checking stock levels of stationery and other office supplies.
About you
• Demonstrable experience in an Administration role
• Previous experience in a Legal setting is advantageous, however full training will be given
• Impeccable attention to detail and accuracy
• Highly organised and methodical nature
• Strong IT skills including MS Office applications.
• Confident communication skills with the ability to liaise at all levels professionally and confidentially.
• Ability to work efficiently to meet deadlines.
• Proactive, professional, and personable team player
